Job Summary:
The Manager of Facilities Administration will oversee all administrative operations for the Custodial Department Event Services Department Facilities Department Mail Services Department and Maintenance Operations Department.
Supervisory Responsibilities (if applicable):
Supervision of Facilities Administrative Assistant (future)
Duties/Responsibilities:
Oversee general office operations and gives reports to Executive Director
Oversees staff interactions and respond to their queries on office management issues
Oversee all invoices for accuracy and processing for the departments reporting to the Executive Director of Facility Operations & Construction Management. Ensuring they are processed in a timely manner and are acutely entered into our accounting system(s) with the correct account information.
Reconcile statements to resolve any open invoices and work with vendors to resolve inaccurate invoices and missing invoices.
Work with Accounts Payable to help get new vendors set up into the accounting system.
Work closely with accounting to resolve any issues with the invoice process.
Track monthly vendors invoices using Excel to ensure that all Contract/Professional Services invoices are received and accurate.
Track unexpected and deferred maintenance expenses in Excel.
Track Make Ready costs for Washington Apartments and Swindoll Tower.
Provide accounting needed information for all ACH payments invoices (City of Dallas City of Fort Worth Atmos) for audit purposes.
Track budgets for accuracy and investigate overages monthly.
Weekly/monthly review for items charged to wrong accounts and send information to Accounts Payable for corrections.
Gather information from budget managers to prepare budgets for the upcoming budget year.
Oversee housing budgets and approve invoices in accounting system to make sure they are being charged to the correct accounts
Other Duties
Order uniforms for departments mentioned in job summary.
Order office supplies and coffee supplies for departments mentioned in job summary.
Order Amazon items per requests from departments mentioned in job summary.
Qualifications
Required Skills/Abilities:
Previous accounting experience
Analytical abilities
Previous office management experience
Proficient in Excel
Excellent interpersonal skills over the phone and in-person
Excellent customer service skills
Valid US Drivers License
Ability to stay calm when faced with conflicting priorities.
Ability to multitask be proactive teachable flexible and a self-starter.
Exceptional attention to detailed organizational skills
Advanced computer skills with an aptitude to learn new systems and procedures
Excellent time management skills
Ability to follow directions carefully and accurately
