JOB SUMMARY:

Under the general supervision of the Communications Project Director the Communications Coordinator is responsible to perform a variety of administrative staff support duties to the Communications Team which requires a range of skills and knowledge of ministry goals and organizational role requires high attention to detail and the ability to work with excellence at a fast pace.

ESSENTIAL JOB RESPONSIBILTIES:

Digital & Email Communications Execution

  • Weekly Jeff Jones The Good Stuff and other high importance email creation formatting and execution
  • Proofread as needed including weekly ministry emails graphics group guides and materials etc.

Website & Database Administrative

  • Review and approve event registration forms in Rock RMS
  • Weekly website updates in Rock RMS for weekend content: Top 3 sermon guide/notes etc.
  • Forward Contact Us inquiries and weekend guest inquiries

Design & Creative Assets

  • Edit and update design projects in Adobe Creative Suite
  • Manage Canva account and convert graphics slides printed materials into editable templates for ministries
  • Create the ProPresenter weekend worship slides for speakers and special events
  • Order and monitor print jobs in-house and outsourced

Media & File Management

  • Archive photos from church events as needed with the photography team
  • Maintain and update staff photos for archives on the web and in email signatures
  • Assist in maintaining file organization in Dropbox

Project & Task Management

  • Support project intake (gather all information needed for projects research etc.)
  • ClickUp task management data entry and maintenance
  • Assist the Communications Team with scheduling and miscellaneous tasks as needed

Administrative & Operational Support

  • Pick up and transport or arrange delivery materials to campus drop-off areas as needed
  • Support Comms Leaders in managing calendars inboxes and other administrative duties

General A-Team Duties and Responsibilities include the following:

  • Coordinate and prepare for meetings and events (e.g. reserve rooms room set-up and food).
  • Prepare and submit expense reports in church management software.
  • Edit and generate correspondence as needed.
  • Maintain team members calendar in Outlook as needed or requested.
  • Maintain accurate and current records in church management software.
  • Reserve room and resources in church management software.
  • Arrange and coordinate travel arrangements.
  • Support Office Manager as needed (e.g. A-Team rotating phone duty special projects and training).
  • Maintain clear communication with the front desk in times of absence.
  • Attend required meetings.
  • Perform miscellaneous job-related duties as assigned.

  • Strong software management data entry and task organization skills.
  • Detail-oriented must really enjoy diving deep into the fine details making sure they are organized and accurate.

  • Multi-tasking ability to keep track of multiple projects at the same time.
  • Flexibility willing to jump into other tasks outside of normal responsibilities during busy seasons.

EXPERIENE DESIRED

  • Experience: 2 years related experience and/or training; or equivalent combination of education and experience.

EDUCATION DESIRED

  • Minimum of high school diploma or equivalency; college degree preferred.

SUPERVISORY RESPONSIBILITES

  • There are no supervisory responsibilities with this role.

LANGUAGE SKILLS

  • Ability to speak effectively and understandably on the phone. The ability to effectively present information and respond to common inquiries regarding Chase Oaks ministries is also required. High attention to customer service.

COMPUTER SKILLS

  • Strong working knowledge of Microsoft Office Outlook calendaring and email
  • Basic knowledge of Excel and PowerPoint
    Data Entry skill & experience
  • Familiarity with Databases
