Position SummaryThe Philanthropic Fulfillment Specialist plays a vital role in advancing fundraising success by performing essential administrative processes that uphold donor intent and support the organizations donor recognition and stewardship strategies. This service-driven position executes a wide range of responsibilities related to fund administration donor acknowledgment and stewardship initiatives and manages diverse expectations to enhance strong positive relationships with donors and internal team members.Essential Duties and ResponsibilitiesPhilanthropic Fulfillment- Utilize the organizations constituent database to accurately record review and administer fund intentions and availability for all annual renewable and endowed scholarships.
- Assist in routing all Memorandum of Agreements and gift commitments to donors campus partners and Foundation leadership for signatures.
- Ensure all agreements and documentation outlining donor intentions are properly filed and stored.
- In collaboration with team members carry out proper fund management practices to protect donor intent positive fund utilization and meaningful stewardship and recognition of our donors.
Donor Recognition and Stewardship- Coordinate with external vendors to properly acknowledge and/or celebrate our donors life events through cards flowers and gifts.
- Utilizing the university scholarship management system review approve and mail the annual scholarship recipient thank you notes to donors.
- Assist with the execution of key organizational stewardship touch points throughout the year.
- Support regular practices related to the acknowledgement of our newest or elevated recognition society members including mailers for the Lifetime Giving Societies Sylvan Circle Society and Loyal Blue Society.
- Assist with the management of the donor recognition signage database and administrative responsibilities of the naming process.
- Work closely with internal team members to carry out proper stewardship and recognition efforts with accuracy and care to protect donor relationships.
Other Duties- Other duties may be assigned to meet the organizations needs.
Education and Previous ExperienceAssociate or bachelors degree is preferred but not required. Two or more years of professional experience in a related field (such as communications administrative support guest experience) is recommended. Additional QualificationsQualified individuals will possess the following: - Strong attention to detail and ability to identify inaccuracies and/or inconsistencies.
- A high level of interpersonal skills both in person and by phone to handle sensitive and confidential situations with varied internal and external constituencies.
- Customer service skills requiring clear communication in person on the phone and in writing are essential.
- A high level of integrity including ability to treat confidential information with discretion.
- Ability to be organized and resourceful to locate and compile information and accomplish projects with minimal supervision.
- Consistent attention to detail in composing and proofing materials establishing priorities and meeting deadlines.
- Ability to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
- Ability to work independently as well as in a collaborative team environment with professional demeanor self-reliance and resourcefulness.
- Dependability and punctuality.
- High energy positive attitude and high degree of initiative.
- Proficient experience using the most recent versions of computer software applications including word processing spreadsheets database and presentation software (i.e. MSWord Excel Outlook PowerPoint).

Requires manual dexterity sufficient to operate standard office machines such as computers fax machines calculators the telephone and other office and/or clerical equipment.
