A national full-service law firm with a robust Trusts & Estates practice serving individuals families and closely held businesses. The team handles probate and trust administration estate planning tax matters and related real-property filings across Florida and beyonddelivering client-focused counsel at scale.
Role Overview
Were seeking a proactive detail-oriented Probate Paralegal to support a high-volume Trusts & Estates team in Boca Raton. Youll manage end-to-end probate and trust administration tasks draft and file pleadings communicate with clients and courts and track billable time with precision.
Key Responsibilities
- Provide comprehensive legal support to attorneys across probate and trust administration matters.
- Prepare and e-file probate pleadings and related legal documents; record deeds and other instruments.
- Marshal inventory and track estate assets; coordinate distributions and prepare accountings.
- Draft correspondence engagement documents and execution/signing packages; maintain organized client files.
- Complete and coordinate IRS filings including Form 709 (gift tax) and Form 706 (estate tax).
- Communicate professionally with clients fiduciaries financial institutions and court personnel.
- Enter daily time; generate reports as requested to support billing and matter management.
- Maintain confidentiality and ensure accuracy through careful proofreading and quality control.
- Assist with conference/hearing prep calendaring deadlines and other duties as assigned.

Qualifications
- Minimum 3 years of law-firm experience with hands-on probate and trust administration required.
- Strong working knowledge of Florida probate procedures and e-filing.
- Proficiency with Microsoft Office (Word Outlook Excel); experience with document management and time-entry/billing systems (e.g. Aderant/Elite or similar).
- Exceptional organization attention to detail and ability to manage deadlines in a fast-paced environment.
- Professional clear written and verbal communication; client-service mindset.
- Notary Public and/or paralegal certificate a plus.
