The Role
We are seeking a dynamic and organised professional to join our team as Head of Secretaries in the Global Financial Markets department (GFM). This pivotal role combines hands-on secretarial support with strategic team leadership to ensure the smooth functioning of our legal support services.
Key Responsibilities:
- Provide day-to-day secretarial support to GFM lawyers including Partners and Counsels.
- Lead and manage the secretarial team including:
- Coordinating coverage for absences and preparing absence rosters.
- Monitoring overtime and ensuring compliance with labor law.
- Organising on-call weekend duties and managing evening shift schedules.
- Overseeing workload distribution and daily operational needs.
- Driving performance management through regular feedback evaluations and development planning.
- Acting as the first point of contact for escalations and resolve operational issues within the team.
- Participate in the recruitment process for secretarial staff in collaboration with HR.
- Collaborate with associates to maintain high standards of secretarial service.
- Work closely with Partners to ensure appropriate administrative support for the GFM department.
- Support process improvements and implement best practices across the function.
- Represent the team in regular operational meetings with the Office Manager.
- Provide strong leadership and coordination to ensure efficient support and high service standards.

Qualifications :
Your Experience
- fluency in Polish and English;
- advanced computer skills in MS Office;
- good organisation of work and the ability to set priorities;
