Site Administrator
Position Overview
The Site Administrator is responsible for providing administrative and clerical support to the site team. This includes customer service payroll and finance assistance document control and general office coordination. The role supports smooth day-to-day operations and helps maintain compliance with company policies and safety standards.

- Permanent Full Time
- 38hr week
- 7.30am - 3pm
Key Responsibilities:
Customer Service
- Greet visitors manage site entry and assist with inductions.
- Answer and direct incoming phone calls.
- Handle general enquiries and requests for information.
Administration:
- Provide admin support to site managers and other departments (Fleet HR Safety etc.).
- Schedule meetings prepare agendas and take meeting minutes.
- Maintain records and ensure data entry is accurate and up to date.
- Manage mail stationery and office supplies.
- Coordinate events and catering when required.
Finance and Payroll:
- Process supplier invoices match delivery dockets and assist with account reconciliations.
- Manage petty cash and reimbursement requests.
- Assist with basic payroll administration tasks.
Document Control:
- Maintain organised manual and electronic filing systems.
- Support document control and archiving processes to ensure records are easy to locate.
Safety Environment & Quality:
- Follow all workplace health safety and environmental policies.
- Report hazards incidents and quality issues promptly.
- Promote a Zero Harm and continuous improvement culture.
Skills and Experience:
- Previous experience in administration or reception (construction rail or industrial sector preferred).
- Proficient in Microsoft Office (Word Excel Outlook).
- Strong communication and organisational skills.
- High attention to detail and ability to manage multiple tasks.
- Experience with payroll or accounting systems is an advantage.
Qualifications:
- Certificate in Business Administration (desirable).
- Current drivers licence (Class C).
- Rail Safety Medical and PTA permits (if applicable).
