Job Summary

Position Objective

Under the supervision of the Human Resources Assistant Director of HRIS Benefits and Compensation the HR Assistant will be responsible for providing first level professional human resources support. The HR Assistant serves our students faculty and staff with the responsibility of greeting them and directing them to the appropriate HR staff processing HRIS transactions assisting with tracking in regards to onboarding benefits records management and job data. As a customer service focused professional the HR Assistant supports all members of the College community in their accountability to College policies and procedures. The HR Assistant may coordinate HR related projects and initiatives in support of HR strategic goals.

The HR Assistant is a member of the Human Resources team and will collaborate with other HR and Payroll staff to create and maintain departmental cohesion. This position consults with and provides assistance to managers staff and the public regarding inquiries and service requests provides information to clients and explains policies rules and regulations applicable to Human Resources. This position is responsible for the accuracy of records and proactively resolving issues within established guidelines regarding human resources processes and procedures.

*This is a full-time on-site position Monday through Friday from 8:00 AM to 4:30 PM

Duties and Tasks (Essential Functions)

Duty: Data Entry
Tasks include:

  • Enter all new employees information into ctcLink (HRIS)
  • Research new hires in statewide database or generate Empl IDs
  • Process Employee Action Forms including but not limited to separations pay changes and job changes.
  • Work with internal constituents to ensure accuracy of Faculty workload entries
  • Work with departments to correctly classify Student Work-study and International students job data.
  • Enter benefits enrollment and changes in ctcLink Benefits 24/7 DRS TIAA LTD and Metlife.
  • File tickets with HCA as needed for Data Corrections.

Duty: Data tracking and Data Reports

Tasks include:

  • Generate assigned system reports including ad hoc reports.
  • Provide reports for required accounts and compliance with external constituents such as DRS PEBB HCA ACA SBCTC and VEBA.
  • Track leave hours for FMLA/PFML and Shared Leave and work with the Benefits Administrator appropriately.
  • Work with internal and external constituents such as DRS PEBB HCA ACA SBCTC TIAA and VEBA to complete data audits and cleanup as needed
  • Pull queries of hourly employees to determine eligibility for benefits and communicate to Benefits Administrator to offer benefits.

Duty: Records Management

Tasks include:

  • Review paper and electronic files
  • Handle and process sensitive documents
  • Prepare sort scan save and profile scanned client materials into digital document management system.
  • Create and update index of files saved into document management system.
  • Inventory client materials for scanning.
  • Securely dispose of physical material according to record retention policies.

Duty: Administrative Assistant

Tasks include:

  • Respond to HR-related service inquiries from employees managers and members of the public; assesses needs identifies and evaluates options and recommends courses of action
  • Monitor new HR/Benefits tickets through Team Dynamics and route to appropriate team member.
  • Monitor the HR email inbox and route messages to the appropriate team member.
  • Monitor external software inquiries from other external constituents such as DRS PEBB HCA ACA SBCTC TIAA and VEBA.
  • Filing documents into digital content software.

Minimum Qualifications

  • Associates Degree OR equivalent years of relevant experience
  • Two or more years of administrative experience
  • Efficient and accurate keyboarding skills
  • Demonstrated strong analytical and problem-solving skills
  • Demonstrated experience with using a human resources information system
  • Demonstrated customer service skills
  • Demonstrated excellent verbal and written communication skills
