Job Summary

We are seeking an Executive Assistant to support the Global Head of Product & Insurance Risk based in Hong Kong.

Position Responsibilities:

  • Manage complex diary managements and appointments anticipate issues and proactively initiate appropriate action

  • Organize internal and external meetings calls townhalls and conferences for the Global Head of Product & Insurance Risk or his delegates in efficient professional manners within tight timeframes and minimum guidelines given

  • Handle confidential information and interacts with all levels of management other departments internal and external customers using tact and diplomacy in all dealings

  • Arrange and manage travel arrangement and preparation submission and tracking of expenses and medical claims

  • Track and drive completion key deliverables and follow up on outstanding executive action items

  • Organize prioritize and handle time-sensitive confidential information and ensure appropriate action is taken

  • Take proactive steps to ensure that best practice and coordination is seamless across all interfaces

  • Work closely with support staff to build and secure support and resources for projects and initiatives

  • Prepare various correspondence and documents; edit and proof correspondence and documents

  • Perform miscellaneous and ad hoc tasks as assigned with strong sense of responsibility and ownership

Required Qualifications:

  • Degree holder with at least 8 years of relevant experience supporting senior executives in global financial organizations

  • Impeccable attention to detail and high levels of integrity and discretion

  • A strong sense of urgency and the ability to work independently on assignments with minimum supervision/guidance

  • Ability to deal with a high level of ambiguity and utilize sound business judgment

  • Great organizational skills a strong bias for action and the ability to multitask effectively

  • Ability to complete complex tasks and projects quickly with little guidance react with appropriate urgency to situations that require a quick turnaround be able take effective action

  • Strong track record of being a team player within a large scale fast-moving and process-driven environment

  • Excellent communication (written and verbal) and interpersonal skills

  • Flexible with the ability to prioritize and handle multiple assignments at any given time while maintaining commitment to deadlines

  • Fluency in English and another Asian language
