The Events and Facilities Project Manager facilitates projects and activities in support of organization-wide event strategy while demonstrating Cascade PBSs values of integrity community innovation and diversity.
Rate of Pay $30.47 - $34.27 per hour

KEY RESPONSIBILITIES/DUTIES
- Oversees stand alone venue and partner events
- Manage registration for all in house Cascade PBS events
- Manage the execution of sponsorship deliverables for all in house Cascade PBS events
- Oversee procurement of packages for membership stewardship donations
- Track execute and ensure the completion of agreements with partner organizations
- Liaise with finance and legal team to track contracts code and route expenses
- Source external vendors manage vendor contracts and direct vendor logistics
- Manage communications with Finance and Donor Operations team to track and appropriately code revenue
- Resource track and order event collateral décor and promotional items
- Maintain events storage spaces
- Manage the donor event materials ensure all deliverables are on time and distributed to appropriate stakeholders in coordination with Design and Marcomm teams
- Manage all facets of event ticketing including tracking online event registration pages and monitor event ticket registration and attendance; provide support to Cascade PBS staff board and ticket purchasers
- Collect and distribute event communications event postings emails invitation mailings attendee data survey results and post event follow up
- Manage daily and weekly event blocks in the organizational newsletters
- Oversee event listing pages and update featured events on Cascade PBS websites
- Manage logistics for external community and marketing events including staffing activations and hosting tables at off-site events
- Provide excellent customer service to all event participants through clear communication friendly demeanor and by providing information for questions and feedback
- Leverage planning resources budgets communications and time management tools to produce the best possible community engagement experiences for donors and audiences
- Attend and participate in select Events department and interdepartmental meetings
- Research and contribute to event creation
- Define provide and maintain administrative and operational support to technology department leads including proactive calendar management prioritization of scheduling across departments/business units and coordination of complex logistics for internal and external engagements
- Lead and manage facilities and events focused projects approved by the PMO from initiation through completion. Develop project plans define milestones monitor progress and ensure timely delivery of outcomes aligned with organizational goals
- Serve as a liaison between Events and technology departments by facilitating and maintaining communication channels. Ensure alignment across departments through regular updates documentation and follow-through
- Identify and implement process and policy enhancements that improve efficiency collaboration and service delivery across both departments (Events and Technology). Leverage tools and systems to streamline workflows and track performance metrics
- Collaborate with other team members to foster a positive and productive culture and contribute toward the overall growth of Cascade PBS

REQUIRED SKILLS/ABILITIES
- Proficiency in Microsoft Office Suite and project management required
- Experience with email marketing CRM systems and data management preferred
- Familiarity with donor engagement event production or facilities operations is a plus
- Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines required
- Direct and proactive problem-solver with a strategic mindset and attention to detail
- Ability to work on a team and/or individual projects required
- Strong verbal communication presentation and writing skills required
- Experience in project management operations or cross-functional coordination roles preferably in nonprofit events or facilities environments
EDUCATION AND EXPERIENCE
- Degree in Marketing Communications Business or related field or equivalent experience required
- Three years of experience in event coordination
PHYSICAL REQUIREMENTS
- Ability to work some evenings weekends holidays as needed
- Must have a valid drivers license or reliable means of transportation to meet requirements of the job
- Ability to lift and carry 30 pounds unassisted
- Ability to sit or stand for extended periods of time
- Ability to travel in Washington State and Canada (overnight travel limited to 2-3 events per year)
