Job Summary

Job Summary:
The Dispatch Executive plays a crucial role in ensuring the efficient and timely dispatch of products from the warehouse to customers including managing logistics transportation and related documentation. The position involves collaborating with multiple teams within the company to meet delivery deadlines maintain inventory accuracy and uphold customer satisfaction through precise and timely order fulfillment.

Key Responsibilities:

  1. Dispatch Coordination:
    • Plan monitor and execute the dispatch of goods based on customer orders and schedules received from CSR Team
    • Ensure goods are dispatched in compliance with delivery deadlines customer specifications and company guidelines.
    • Organize transportation ensuring the correct delivery method is used based on priority and customer location.
  2. Inventory Management Support:
    • Work closely with the inventory management team to ensure accurate stock levels for all outgoing goods.
    • Monitor the status of products in the warehouse to avoid dispatch delays and ensure that stock is ready for delivery.
    • Conduct regular audits of dispatch materials to ensure inventory accuracy and reduce discrepancies.
  3. Documentation & Record-Keeping:
    • Ensure proper documentation is completed for all outgoing shipments including delivery notes invoices and customs paperwork (if applicable).
    • Maintain an organized filing system for dispatch records and related documents both digitally and physically.
    • Track dispatched orders and confirm deliveries updating the system with shipment status and any delays.
  4. Customer Interaction & Order Tracking:
    • Act as the point of contact for customers regarding the status of their orders and any potential issues with deliveries.
    • Communicate effectively with customers to resolve any discrepancies damaged goods or delivery concerns.
    • Follow up with customers after delivery to ensure satisfaction and resolve any post-delivery issues.
  5. Coordination with Transporters and Third Parties:
    • Liaise with transport companies carriers and third-party logistics providers to schedule deliveries.
    • Ensure transportation arrangements are cost-effective and efficient keeping in mind the best routes timings and vehicle availability.
    • Monitor delivery progress and troubleshoot any issues that arise during transit (e.g. delays vehicle breakdowns).
  6. Quality Control & Compliance:
    • Ensure that all dispatched goods are in good condition properly packed and match the order specifications.
    • Verify that packaging and labeling meet legal and regulatory requirements including safety labels and shipping restrictions.
    • Comply with internal quality control standards and ensure that goods are handled safely and securely during dispatch.
  7. Performance Monitoring & Reporting:
    • Regularly track and report on dispatch metrics including order fulfillment rates delivery times and customer feedback.
    • Provide weekly or monthly reports to management regarding dispatch activities and any issues or delays.
    • Identify areas for improvement in dispatch efficiency and propose solutions to reduce delays or improve processes.
  8. Problem Resolution:
    • Address and resolve any issues or challenges in the dispatch process including delays incorrect shipments or damaged goods.
    • Investigate root causes of recurring dispatch issues and collaborate with other departments (e.g. warehouse inventory) to implement corrective actions.

Skills and Qualifications:

  • Experience: At least 7-8 years of experience in dispatch logistics or supply chain roles preferably in manufacturing or distribution.
  • Technical Skills: Proficient in Microsoft Office Suite (Excel Word PowerPoint) and experience with dispatch management software SAP.
  • Communication: Strong verbal and written communication skills with the ability to interact with internal teams customers and third-party logistics providers.
  • Organizational Skills: Exceptional ability to manage time and prioritize tasks effectively in a fast-paced environment.
  • Problem-Solving: Strong analytical and troubleshooting abilities to resolve any issues related to dispatches deliveries or customer complaints.
  • Attention to Detail: Ability to maintain high standards of accuracy in documentation and ensure that orders are fulfilled as per customer specifications.

Additional Responsibilities:

  • Safety and Compliance: Ensure that dispatch activities comply with local state and national regulations particularly regarding the transport of hazardous or regulated materials.
  • Team Collaboration: Work closely with warehouse procurement and sales teams to ensure smooth transitions from order fulfillment to dispatch.
  • Customer Service Focus: Maintain a customer-centric approach to dispatch always aiming to improve customer satisfaction through prompt accurate deliveries.

Working Conditions:

  • Work Schedule: Full-time position with standard office hours with potential for overtime depending on dispatch volume.
  • Work Environment: Predominantly based at warehouse or distribution center for day to day dispatch operations.
