Summary:
The Leaves Administration Supervisor manages Workers Compensation Leave of Absence and Time Off Plans as well as assists in the administration of benefits. Supervise day-to-day operations related to LOA Workers Compensation and time-off programs.
Work with the third-party administrator to handle leaves of absence cases - e.g. FMLA Non-FMLA STD/LTD Parental Leave etc.
Work with the third-party administrator to prevent and reduce risk-based exposure and related costs of the Workers Compensation program.
Provide direction and support to team members and act as an escalation point for complex or sensitive cases.
Oversee LOA ticketing system containing leave related inquiries assign and distribute work amongst LOA team and monitor queue for timely completion and data tracking.
Ensure accurate and timely responses to inquiries from employees managers and HR Business Partners related to LOA/WC and time-off policies.
Train mentor and support HR staff on leave and WC processes system navigation and compliance standards.
Conduct or oversee employee and manager consultations to educate them on leave eligibility pay entitlements return-to-work options and the overall LOA process.
Act as a second-level contact for time-off benefits such as PTO bereavement jury duty and sick leave.
Monitor vendor performance ensure timely processing of claims and communications and identify process improvements.
Oversee coordination with vendors to ensure timely and compliant updates to Workers Compensation posters and state-mandated compliance notices.
Work with HR Compliance team to monitor new or changing state/federal laws affecting Workers Compensation LOA City/State Paid Leave laws FMLA State-mandated Leaves and Disability and determine appropriate procedural changes to remain compliant.
Oversee auditing and reconciliation of payroll reports related to LOA in Workday; ensure timely corrections (e.g. Unsupported Retro Intermittent LOA PSL reinstatements).
Prepare and distribute reports to the Compensation and Finance teams including LOA status for bonus eligibility and PTO liability balances.
Manage and prepare regular reporting on Workers Compensation and LOA cases to identify and track trends.
Investigate discrepancies or payment concerns related to time-off plans and recommend corrective actions.
Review and improve internal processes related to LOA and WC to enhance efficiency accuracy and employee experience.
Supervise the preparation and payment of third-party LOA/WC invoices.
Lead or contribute to special projects and cross-functional initiatives as assigned.
Required Education and/or Experience
Bachelors degree (B.S.) from a four-year college or university or equivalent experience and 3-5 years related experience and/or training; or equivalent combination of education and experience. Internal JD Finish Line experience strongly preferred.
Required Computer and/or Technical Skills
Should have basic to intermediate knowledge and abilities with Google Office (GMail Drive Sheets Slides and Docs) or Microsoft Office equivalents as well as have the ability to learn a basic understanding of functions and relationships of information in Workday and other HR systems.
