Pay: $18.65/HR paid weekly.
Schedule: Monday Friday Standard Business Hours
Job Summary:
The Trust Administrative Assistant provides administrative and operational support to the Private Banks Trusteed Individual Retirement Account (TIRA) line of business. This role works closely with Specialized Fiduciary Officers Trust Administrators and National Trust Services Managers to ensure accurate efficient and compliant delivery of IRA account-level services. The position involves performing money movement and tax-related transactions managing account maintenance activities and supporting client and officer needs with professionalism and attention to detail.
Key Responsibilities:
- Provide administrative support to Specialized Fiduciary Officers Team Leaders and Group Managers within the Private Banks IRA business.
- Perform day-to-day IRA account functions including account openings maintenance contributions distributions rollovers and tax-related transactions.
- Coordinate and communicate with both internal and external partners such as Attorneys CPAs Fiduciary Accountants Financial Advisors Sales Compliance Operations and Technology teams.
- Prepare correspondence routine letters and email communications to support client and internal inquiries.
- Manage documentation file retrieval imaging and recordkeeping in accordance with regulatory and firm standards.
- Participate in projects assist with reporting and research and act as a backup for Officers as needed.
- Ensure all actions meet compliance and quality standards while maintaining confidentiality of client information.
- Deliver accurate timely administrative support to enhance the client experience within the Private Banks fiduciary services.
Qualifications:
- Experience: 13 years of experience in retirement account administration Private Banking Trust services or administrative support preferred.
- Skills: Strong attention to detail organizational skills and ability to manage multiple priorities independently.
- Knowledge: Familiarity with IRA account processes trust administration or financial operations is a plus.
- Communication: Excellent written and verbal communication skills; comfortable coordinating across teams and with external partners.
- Technical: Proficiency in Microsoft Office Suite (Word Excel Outlook) and financial systems or CRM tools.
