Job Summary

Component Surfaces Inc. is a state-of-the-art technical plating and electroforming company serving the semiconductor aerospace and medical industries nationwide. Based in San Diego were passionate about delivering exceptional solutions and building long-lasting client relationships. We are looking for a temporary Office Coordinator and Accounting Assistant to work between 5 and 6 months on a contract basis. Our office is open Monday through Thursday and we work 10 hour days with Fridays off. Training is provided for the first week or two depending on date of hire.

KEY RESPONSIBILITIES:
Accounts Payable (A/P)
  • Process vendor bills by reviewing matching to POs and entering them into the accounting system.
  • Maintain accurate and up-to-date vendor/supplier records including points of contact billing and shipping addresses W9s and other essential documentation.
  • Verify invoices against purchase orders and receiving documents to ensure accuracy.
  • Assist with scheduling and processing vendor payments in a timely manner.
  • Communicate with vendors to address inquiries resolve discrepancies and maintain positive relationships.
  • Generate reports as requested including analysis of trends forecasts and payment activity.
Accounts Receivable (A/R)
  • Prepare and issue customer invoices in accordance with purchase orders or order acknowledgments.
  • Maintain accurate and up-to-date customer records including points of contact billing and shipping addresses reseller certificates and other essential documentation.
  • Reconcile invoice payments with physical documentation to ensure accurate recordkeeping keep physical file up to do.
  • Support collection efforts by following up on overdue accounts and issuing reminders.
  • Provide responsive customer service by addressing billing inquiries and aid in resolving account disputes
Other Accounting Support
  • Prepare purchase orders and send to vendors
In-House IT Support
  • Provide first-level troubleshooting and user support for employees.
  • Assist with password resets Wi-Fi and printer connectivity and shared drive access.
  • Guide employees in the use of office software and technology tools.
  • Coordinate with external IT vendors for advanced troubleshooting system upgrades or employee onboarding support.

Office Support & Cross-Department Assistance
  • Serve as a flexible resource to support various departments and ensure operational efficiency.
  • Aid in renewals of licenses permits and certifications.
  • Assist with company initiatives such as event coordination employee onboarding and training activities.
QUALIFICATIONS:

  • High school diploma or equivalent (Bachelors degree a plus)
  • 5 years of experience office management and accounting.
  • Working knowledge of Quickbooks Online.
  • Strong analytical and problem-solving skills.
  • Proficiency in accounting and ADP payroll platform.
  • Working knowledge of office technology systems hardware and software.
  • Professional communication skills both written and verbal.
  • Excellent organizational skills and attention to detail.

  • Guide employees in the use of office software and technology tools.
  • Coordinate with external IT vendors for advanced troubleshooting system upgrades or employee onboarding support.
Compensation: $30.00 - $32.00 per hour
