Job Summary

Key Responsibilities
Visitor Management: Greet and welcome guests ensure a positive and professional first impression and direct them to the appropriate personnel or department.
Communication: Answer incoming phone calls manage voicemail take messages and redirect inquiries to the correct parties.
Administrative Support: Perform tasks like filing data entry document preparation photocopying and maintaining office supplies.
Scheduling: Coordinate and schedule appointments manage calendars and prepare conference rooms for meetings.
Mail & Deliveries: Receive sort and distribute incoming mail and packages and prepare outgoing shipments.
Office Environment: Maintain a tidy organized and presentable reception area.
Assisting Staff: Provide support to other staff members and assist with tasks like making travel arrangements.
Required Skills
Communication Skills: Excellent verbal and written communication to interact effectively with clients and staff.
Organization & Multi-tasking: The ability to manage multiple tasks prioritize requests and maintain order in a busy environment.
Customer Service: A friendly courteous and professional demeanor.
Technical Proficiency: Familiarity with office equipment such as multi-line phone systems printers and basic computer programs.
Typical Qualifications
A high school diploma or equivalent is generally required.
