Duties & Responsibilities:
1. Calendar Management:
Coordinate and manage the Directors calendar ensuring timely scheduling of meetings appointments and events.
Make travel arrangements including booking flights hotels and rental cars.
Prepare and distribute meeting materials agendas and minutes.
2. Communication:
Handle incoming and outgoing correspondence including emails letters and faxes.
Prepare and send communications on behalf of the Director including reports presentations and other materials.
Liaise with internal stakeholders external partners and vendors to resolve issues and provide information.
3. Administrative Support:
Manage the Directors expense reports travel documentation and other administrative tasks.
Maintain accurate and up-to-date records including databases and filing systems.
Provide support for special projects including data collection research and analysis.
4. Problem-Solving and Initiative:
Anticipate and resolve problems escalating complex issues to the Director as needed.
Take initiative to identify areas for improvement and implement process enhancements.
Develop and maintain relationships with key stakeholders to support the Directors work.
5. Discretion and Confidentiality:
Handle sensitive and confidential information with discretion and professionalism.
Maintain confidentiality of organizational matters including personnel issues and business strategies.
Job Requirements:
Education: -
Bachelors degree or equivalent experience.
Others: - Experience working in a similar industry or with a senior executive team.
Experience: Minimum 1 years of post Nysc experience as an Executive Assistant or similar role.
