SUMMARY:

The Administrative Coordinator II under general supervision assists in general operations of the Ted and Donna Lyon Center for Gamebird Research and maintains high-level interactions with the campus community. Provides administrative support to the Director of the Ted and Donna Lyon Center for Gamebird Research. Exercises discretion and independent judgment with respect to matters of significance and assists with highly confidential and critical academic and/or administrative matters.

DUTIES & RESPONSIBILITIES:

  • Participates in the planning and execution of administrative operations for Ted and Donna Lyon Center for Gamebird Research.
  • Assists with scheduling appointments managing calendars coordinating travel making purchases and processing payments.
  • Serves as receptionist for the Lyon Center with a professional appearance and demeanor. Provides excellent interpersonal skills exceptional telephone etiquette and ability to deal with all types of personalities.
  • Maintains and monitors Lyon Centers budgeted expenditure accounts.
  • Maintains inventory of office supplies.
  • Purchases office supplies equipment accordance with purchasing policies and budgetary restrictions.
  • Manages the Lyon Centers credit card purchases and statement reconciliations.
  • Maintains equipment inventory for the Lyon Center and submits annual reports.
  • Updates content on the Lyon Centers website as needed.
  • Assists with coordination of social events working with the Scheduling Office and Sodexo.
  • Provides administrative support for searches conducted by the Lyon Center.
  • Assists with various special projects as needed.
  • Other duties as assigned.

MINIMUM REQUIREMENTS:

  • Education: Bachelors degree or equivalent combination of education and experience.
  • Experience / Knowledge / Skills: Three years of related experience. Strong organizational skills and detail-oriented. Knowledge of word processing spreadsheet and database applications. Effective verbal and written communication skills.
  • Ability to: Multitask and work cooperatively with others. Excellent written communication analytical interpersonal and organizational skills. Ability to work with sensitive information and maintain confidentiality.

  • Other Requirements: May occasionally be required to perform work at other campus locations. This position is not authorized for online or work from home arrangements.

PREFERRED EDUCATION / SKILLS/ EXPERIENCE:

Degree preferred. Proficiency with standard East Texas A&M administrative tools such as Canopy ManeMarket Emburse and Workday. Experience in higher education.

SUPERVISION OF OTHERS:

May supervise student workers and/or graduate assistants.
