Job Summary

Maintenance Coordinator

Halifax Harbour Bridges (HHB) operates and maintains the Angus and A. Murray MacKay Bridges facilitating over 34 million crossingsannually. Reportingto the Maintenance Manager the Maintenance Coordinator will providevital administrative support and coordination for the operations of theMaintenance Department. This position will operate from 465 Princess MargaretBlvd Dartmouth NS. This role involves managing and streamlining activitiesrelated to the maintenance and repair of all HHB assets and facilities. Theposition is responsible for overseeing administrative tasks associated withequipment machinery and facility upkeep. Additionally the AdministrativeAssistant will play a crucial role in developing and maintaining organizationalsystems to enhance operational efficiency while ensuring compliance withapplicable safety standards. The Maintenance coordinator will build a strongrapport and collaborate with interest-holder internal department staffexternal contractors and consultants.

EssentialDuties and Responsibilities

Engage in closecollaboration with Maintenance Supervisors departmental personnel andthird-party consultants to promote the smooth and efficient execution of dailymaintenance operations.

Work in conjunctionwith Operations to effectively coordinate the Traffic Interruption Process.

Provide comprehensiveadministrative support for departmental meetings including weekly trafficcontrol meetings which involve preparing agendas and documenting minutes.

Develop and maintain asystematic tracking and inventory management system. Generate maintenancereports and monitor key metrics to enhance operational efficiency.

Work collaborativelywith Maintenance supervisors to ensure all work order system action items areproperly dispatched and completed.

Work closely with theMaintenance Supervisor on the development and maintenance of a fleet-related maintenancetracking system.

Assist in the payrollprocessing for the maintenance department ensuring accurate time trackingprecise overtime calculations and strict adherence to payroll deadlines.

Assist in TrafficControl Support by applying traffic control principles to plan and schedulemaintenance impacting bridge traffic.

Prepare submit andtrack Traffic Interruption Notifications (TINs) to ensure accuracy complianceand timely delivery.

Develop and maintaindetailed schedules for closures and lane restrictions and coordinate withinternal and external partners.

Draft and circulateclosure briefs to government and stakeholders ensuring clarity and accuracy.

Liaison withCommunications PMO and Engineering to align schedules messaging and projectneeds.

Uphold compliance withcompany policies and regulatory requirements.

Perform any additionalresponsibilities as assigned.

Qualifications

Completion of apost-secondary education in a related field

A minimum of 3 yearsof relevant experience in an administrative role

Excellent written andverbal communication skills

Proven ability tooperate within a computerized maintenance management program/system withadditional experience using MS Office Suite

Strong organizationaland planning skills

Experience developing ascope of activity budget for material and equipment purchases

Strong knowledge ofequipment machinery and facilities maintenance (asset)

Ability to workindependently and as part of a team

Demonstrated abilityto coordinate and follow up with team members to ensure timely completion ofdeliverables

Vacancy: Hiring 1position

Position: PermanentFull-time Non-Union MondayFriday 8:00 AM4:00 PM (35 hours/week). Subject tochange based on operational needs with occasional overtime includingweekends.

Salary range for this position is $50178.00 - $62723.00 per year.

Thisposition requires the incumbent to work in an office environment at HHB withminimal physical effort demands. Due to the nature of this position mentalstress may be experienced when responding to conflicting demands and varyingneeds dealing with issues and matters that can be complex and time attention is required for coordinating resources processing documentsand providing status reports and work order summaries.
