Description

The Susan & Leonard Feinstein Inflammatory Bowel Disease (IBD) Center at Mount Sinai is seeking a highly motivated detail-oriented Program Manager to help lead and operationalize our IBD Prevention Programa first-of-its-kind clinical and research initiative focused on identifying and reducing IBD risk in high-risk individuals. This individual will play a pivotal role in coordinating all aspects of the program from patient-facing workflows to backend data infrastructure.

This is an ideal role for an experienced research professional with strong organizational communication and systems management skills who is passionate about translational research preventative medicine and team-based care.

Responsibilities
  • Project Management & Program Coordination
    • Lead day-to-day operations of the IBD Prevention Program including clinical workflows team scheduling and quality assurance.
    • Coordinate activities across multidisciplinary team members including physicians clinical research coordinators ultrasound techs medical assistants and lab staff.
    • Ensure seamless execution of visit workflows and timely execution of program milestones.
    • Assist in oversight and alignment of pre-existing prediction/prevention cohorts
  • Research Data Infrastructure
    • Manage and oversee data collection platforms including REDCap and Epic ensuring complete and accurate data capture.
    • Implement standardized protocols for data entry sample tracking and participant follow-up.
    • Support the development and integration of new modules (e.g. serology risk scores dietary logs environmental exposure data).
  • Patient Interaction & Workflow
    • Coordinate the distribution and completion of electronic questionnaires and risk assessment tools to enrolled participants.
    • Monitor and flag missing data or overdue tasks to appropriate staff for resolution.
    • Guide staff on biospecimen collection and handling including blood stool and other study-specific samples.
  • Program Evaluation & Quality Improvement
    • Track key performance indicators (e.g. enrollment completion rates biosample collection) and prepare progress reports.
    • Identify inefficiencies or process gaps and implement solutions in coordination with clinical and research leadership.
  • Regulatory & Communication Support
    • Assist with IRB submissions and updates as needed.
    • Facilitate clear communication across stakeholders including biorepository staff research assistants and faculty investigators.
  • Study Design and Grant Development Planning
    • Collaborate with investigators to develop competitive grant proposals
    • Coordinate timelines support budget preparation and ensure compliance with sponsor requirements
    • Assist in writing editing and formatting submissions for clarity and impact
    • Support long-term funding strategy by aligning projects with institutional and national research priorities
    • Maintain records of submissions awards and reporting deadlines to ensure smooth post-award management
    • Performs other related duties.


Qualifications
  • Bachelors degree or greater preferred or a combination of applicable experience and education; Masters degree or higher in epidemiology public health translational science or related field preferred
  • 3 years experience (5 preferred) managing and administrating program activities for assigned area. Minimum 2 years of experience in clinical research or academic program management (GI immunology or prevention experience a plus).
  • Proficiency with REDCap and/or other clinical data systems strongly preferred.
  • Exceptional organizational and communication skills with the ability to coordinate a multidisciplinary team.
  • Comfortable working with both patients and data systems in a dynamic academic environment.
  • Demonstrated commitment to team science innovation and preventive health research.
  • Formal training or certification in project management is advantageous but not a requirement
