Position Summary
Toronto Western Family Health Team (TW FHT)s program links with the surrounding community to provide primary care to families and community members with special attention to the needs of the aging population children and women and patient populations who include: a) underserved at-risk and high needs patients c) adolescents and emerging adults and d) patients with mental health and addictions.
With the teamwork of physicians nurse practitioners primary care nurses social workers pharmacists physiotherapists occupational therapists respiratory therapists and chiropodists.
As a member of the Family Health Team the Administrative Assistant I General will provide reception and administrative support greet and check in patients facilitate use of self-check in kiosks and process payments for uninsured services.
Duties
- Greet patients in-person and assist with registration process
- Answer phone calls using a call centre system and manage voicemails in timely manner
- Obtain necessary information to schedule and modify patient appointments as needed
- Generate invoices and process patient payments
- Process incoming faxes and scanning of documents
- Messaging and communication with providers and members of the healthcare team
- Utilizing Electronic Medical Record (PS Suite) to respond to and send messages.
- Monitor and process electronic documents (OCEAN)
- Perform clinic opening and closing duties including securing doors setting alarm and locking documents.
- Work in compliance of the Occupational Health and Safety Act and its regulations; reporting hazards deficiencies and contraventions of the Act in a timely manner.
- Perform cross-functional duties with the job classification as assigned and or required including acting as back up for staff during absences and breaks
Qualifications :
- At minimum completion of post secondary certificate up to 1 year in Medical Office Administration or recognized equivalent
- Minimum 1 year experience working in a primary care or healthcare setting.
- Up to 6 months to 1 year of demonstrated experience using Microsoft Office applications applications and specialized medical platforms such as TELUS PS Suite CHIME OCEAN and EPIC required.
- Knowledge of medical terminology preferred
- Good interpersonal and customer service skills required.
- Proficiency in spoken and written English for effective communication required.
- Good time management and organizational skills required
- Ability to produce high quality work in accordance to UHN standards required
- Ability to exercise initiative and good judgment required
- Proficiency in scheduling and task coordination in a healthcare setting preferred
- Ability to handle difficult interactions and challenging situations with professionalism.
- Ability to work effectively in a team environment
- Client service oriented with the ability to effectively work in a diverse neighbourhood and a community based environment
