Work Schedule: The standard 40-hour work schedule is Monday - Friday 8:00 am - 5:00 pm; flexible work arrangements can be proposed and are subject to approval by HR and relevant supervisors; some evening and weekend hours required for special events; travel up to 5% of the work schedule which includes local (Twin Cities metro area) travel.
Work Location: On Campus.
Hourly Rate: $19 - $21.
Essential Job Duties:
- Campus Events and Visit Program.
- Assist the campus visit program by greeting visitors answering visitors questions and directing them to their scheduled appointments which may include attending classes meeting professors and/or admissions officers or taking tours.
- Provide relevant introductions to admissions personnel and other administrative staff or faculty and accurate directions for campus appointments.
- Assist the Campus Visit Coordinator in processing planning and execution of all aspects of a campus visit for prospective students and their families group visits and large campus events.
- Assist admissions staff members to ensure smooth and seamless production of recruitment activities.
- Coordinate details related to hospitality: logistics food/beverage orders audio/visual requests facilities orders and rental services.
- Communications & Data Processing.
- Respond efficiently courteously professionally and accurately to prospective students parents professors coaches and other staff who inquire about St. Olaf College.
- Assist and provide accurate data entry for campus visits and event registrations student inquiry information interest forms and application materials.
- Provide effective office communication including daily internal support and external recruitment communications via text message online chat email phone call and drop-in.
- Student Fellow Program.
- Assist in developing training and supervising successful student fellows who will support all campus visit programming including group and individual visits.
- Office Coordination.
- Facilitate key office tasks that include: sorting and distributing incoming mail maintenance and use of office equipment like printers scanners and computers/laptops.
- Manage and maintain the Admissions lobby including subscriptions maintain organized presentation room.
- Support respect and commit to embracing diverse backgrounds values and points of view to build a strong and inclusive community.
- Complete and meet deadlines for required training and performance management cycle.
- Perform other duties as assigned.
Supervision Received and Exercised:
- Reports to the Senior Associate Dean of Admissions.
- This position does not supervise staff or student workers.
Required Qualifications:
- Education: Associate degree or equivalent relevant work experience; Maintain a valid drivers license and meet St. Olaf College driver authorization criteria with a satisfactory driving record.
- Experience: 2 years related experience; office or customer service experience where contact with the public is valued and imperative.
Preferred Qualifications:
- Education: Bachelors Degree.
- Experience: 4 years or related experience; prior experience using Slate Technolutions.
Prerequisites:
- Employment in this position is conditioned upon successful completion of a background check which may include: criminal background checks reference checks verification of work history verification of any required academic credentials licenses and/or certifications a motor vehicle check verification of DOT certification a credit check employment eligibility verification and/or a pre-employment physical. Whether a background check is deemed successfully completed will be at the sole discretion of St. Olaf College.
