We are a growing property management business overseeing 150 units across six landlords focused on single-let properties. Our mission is to provide exceptional service to both landlords and tenants while maintaining compliance organisation and efficiency in all aspects of property management.
We use Arthuronline as our tenant management system and Google Drive for documentation. Communication with tenants and landlords is managed through our company email system.
Role Overview
We are seeking a skilled proactive and highly organised Administrative Assistant to support our property management operations. This role goes beyond basic adminit requires strong analytical skills excellent written communication and the ability to think ahead prioritise effectively and work independently.
You will work closely with the client providing key administrative and operational support across repairs compliance lettings and tenant communication. The right candidate will be detail-oriented quick to learn and confident handling correspondence spreadsheets and documentation with minimal supervision.
Key Responsibilities:
- Repairs & Maintenance
- Monitor and update the repairs report daily.
- Notify tenants via Arthuronline when repairs are logged and update status once complete.
- Rent & Arrears Management
- Run and review 7-day arrears reports twice weekly and full arrears reports weekly. Analyse data to identify issues.
- Decide on which approach to take with regards to each Tenant in arrears and send messages via Arthur or letters via when required.
- Support in preparing UC47s and possession paperwork as needed.
- Safety & Compliance
- Manage and update compliance trackers (Electrical Safety EPCs etc.).
- Validate certificates update trackers/Google Drive and ensure records in Arthur are current.
- Lettings & Tenancy Administration
- Advertise properties on OpenRent and manage viewing requests.
- Review applicant documentation and maintain eligibility tracker.
- Manage tenancy agreements documentation and update trackers.
- Process rent increase notices and Right to Rent checks.
- Administrative & Analytical Support
- Draft proofread and send professional emails and letters on behalf of management.
- Download file and organise invoices rent schedules and property documentation.
- Collate bi-monthly rent schedules and provide analytical overviews of rent positions for the Landlord
- Maintain trackers for fire alarm checks landlord licences and other compliance.
- Prepare and update spreadsheets and reports for management.
- General Support
- Anticipate needs prioritise tasks and ensure urgent matters are handled promptly.
- Respond to tenant and Directors queries with professionalism and clarity.
- Provide ad hoc administrative support as directed.

Required Skills:
5 years of experience in administrative property management or executive assistant roles. Strong organisational and analytical skills with excellent attention to detail. Exceptional written and verbal communication skills; confident drafting emails/letters. Ability to work independently prioritise tasks and take initiative. Proficiency with Google Drive Excel/Google Sheets and general office software. Familiarity with property management software (Arthuronline) is a plus. Quick learner with the ability to pick up tone style and processes within the first few months.
