Summary of Duties
As an employee working within the Child Welfare Program you will have an opportunity to make a meaningful difference in the lives of Oregons most vulnerable children and families. As a Receptionist (Office Specialist 2) you will:
Provides critical support to the caseworker and management units across all disciplines as requested or required.
Maintains lobby answer phones and inquiries and helps explain rules and policies.
Processes payments according to policy tracks (missing checks) checks for deposit prepares letters of intent maintain records of purchase and assures retention periods.
Distributes and issues parking permits (employees) issue cash vouchers bus passes fishing parent mileage and logs transactions (TRACS OR-Kids).
Ensures all forms and letters are in accordance with ODHS policy and procedures.
Minimum Qualifications
Two years of general clerical experience that includes keyboarding word processing or other experience generating documents; OR
An associate degree in any field; OR
An equivalent combination of education and experience.
Essential Attributes
We are looking for candidates with:
Experience using computers to process enter and verify detailed data with accuracy and efficiency.
Experience in a reception setting delivering exceptional customer service.
Experience using time management and prioritization skills to meet mandated deadlines with competing priorities.
Experience handling confidential and sensitive information with a high degree of integrity attention to detail and discretion.
Experience working independently and cohesively with a team.
Experience communicating clearly and precisely through different platforms (Ex: cell phone email in person Microsoft Teams).

Working Conditions
The hours for this position will be Monday-Friday 8am 5pm In office.
Occasional travel is required for attending meetings trainings and other business needs.
You are expected to work competently within the agencys electronic information systems to include: Microsoft Teams Word Excel Outlook and OR-KIDS.
You will conduct work in an open office environment with noise from telephones printers and other staff with frequent interruptions and/or distractions.
In this role you will encounter sensitive material related to trauma abuse substance use and crisis situations. Our team prioritizes a trauma-informed approach creating a safe environment for both clients and staff.
You will interact with a diverse range of individuals including those who have experienced trauma and may struggle with emotional regulation. This position may involve handling stressful situations that demand rapid decision-making skills.

The Oregon Department of Human Services does not offer visa sponsorship. Within three days of hire you will be required to complete the US Department of Homeland Securitys I-9 form confirming authorization to work in the United States. Finalists must be cleared by the FBI Criminal Justice Information Services (CJIS) through a fingerprint-based criminal records check.
A valid drivers license and acceptable driving record are required for this position.
