Job Summary
About the Role
We are seeking a proactive and organized individual to join our clients team as a Secretary (or Trainee Secretary for school leavers). This role plays a key part in supporting sales and service operations coordinating with customers and suppliers and ensuring efficient office documentation.
What Youll Do
- Support the sales team by coordinating import processes for machinery consumables and spare parts.
- Communicate with local customers and foreign suppliers regarding quotations orders and invoices.
- Process purchase orders prepare dispatch notes/invoices and coordinate delivery or collection.
- Assist in following up overdue payments and maintaining accurate records.
- Coordinate after-sales service issues with sales staff service members and suppliers.
- Maintain both digital and physical records for projects customers and suppliers.
- Prepare reports and assist with tender/bid documentation when required.
What Were Looking For
- Excellent communication skills (English proficiency will be an advantage).
- Strong organizational skills with the ability to prioritize and meet deadlines.
- Proficiency in MS Office (Word Excel Outlook).
- Ability to adapt multitask and support urgent requirements when needed.
