Job Description

As an Order Handling Service Agent you will manage the full end-to-end order process for our customers across Europe. You will act as the direct point of contact ensuring smooth order handling timely delivery and excellent service to build strong long-term relationships.

This role requires someone who is adaptable customer-centric and highly attentive to detail. You will often work with different stakeholders and situations so flexibility problem-solving and a service-oriented mindset are essential.

Your Responsibilities

  • Manage the end-to-end order process for customers across Europe.

  • Serve as the direct day-to-day contact for customers providing sales and customer support to ensure order fulfillment and customer satisfaction.

  • Receive and process new customer orders.

  • Prepare and manage documentation (Order Acknowledgements Purchase Orders to suppliers).

  • Send order confirmations to customers and when necessary prepare send and track prepayments.

  • Track and expedite orders to ensure on-time delivery.

  • Handle freight arrangements for customers and negotiate with freight forwarders.

  • Review and process incoming non-PO invoices.

  • Collect export and freight documents for VAT reporting.

  • Prepare export and freight documentation for VAT reporting.

  • Create and manage service orders.

  • Verify all conditions and coordinate with Sales/Field Service for invoicing details.

  • Issue invoices to customers.

  • Support unit orders and coordinate handovers with Sales.

  • Collaborate with Project Management for technical assistance regarding drawings GSNs and serial numbers.
