A full-time role as aProductivity Assistant will play a pivotal role in supporting internal workflow management reporting mechanisms and resource tracking to ensure optimal team performance across strategy & creative departments. This role offers exposure to real-time operations in a fast-paced creativity-driven environment.
What Youll Do
- Assist in Resource Coordination: Support scheduling and coordination between Strategy Creative and Account teams. Track and update resource allocation plans on a daily/weekly basis.
- Daily Ops Monitoring: Help maintain up-to-date work-in-progress records. Observe and document team timelines and individual task completions.
- Productivity Reporting: Contribute to weekly monthly and quarterly productivity reports based on team output vs. available work hours. Assist in creating easy-to-digest dashboards or summaries for reporting to leadership.
- Workflow Efficiency Support: Alert teams to bottlenecks or overlapping tasks. Flag inconsistencies in time or resource estimates shared by teams.
- Process Documentation & Clean-Up: Help archive closed project files and maintain project status logs. Participate in building templates and SOPs to simplify future operations.
Who You Are
- Completed or currently pursuing a Bachelors degree (preferably in Human Resource Management Business Administration Operations or Media/Marketing).
- Proficiency in MS Excel or Google Sheets is essential. Knowledge of project management tools (e.g. Asana Trello Notion) is a plus.
- Exposure to AI or ability to use tools efficiently is an advantage.
- Mindset & Traits: Highly organized with attention to detail. Eager to learn take initiative and solve problems in real time.
- Comfortable communicating with different teams and personalities.
- No prior experience is necessary but any internship exposure to HR/administration marketing advertising or agency operations is an advantage.
- Good command of English.
- Excellent customer relations problem-solving communication skills and time management skills.
- Eye for details resourceful positive thinking hardworking and able to work under pressure.
- Be able to see other peoples points of view and take on board feedback.
