Job Summary:

This position is a multi-functional position within International Academic Programs (IAP) a unit in The International Division which serves as the principal study abroad office at UW-Madison and coordinates study abroad programming across campus. IAP administers more than 300 campus-wide study abroad and domestic study away programs and internships and annually sends over 3000 UW-Madison students abroad. Essential Responsibilities:

  • 5% Creates and updates access permissions and maintains user accounts to maintain application security through user profile management
  • 10% Monitors and maintains performance metrics for application features and recommends and takes corrective/preventive actions
  • 15% Troubleshoots hardware software and system problems and resolves issues and questions by working with vendors
  • 5% Participates in the evaluation of vendor software releases and impact
  • 10% Coordinates and monitors updates and the installation of upgrades and patches
  • 10% Recommends application enhancements or changes that may involve custom designintegrations and third-party products

  • 15% Participates in the design development and implementation of test and production objects. Defines user requirements and performs configuration change management and testing activities
  • 10% Develops and maintains documentation related to the system. Communicates system enhancement or changes as needed
  • 10% Plans and directs staff implementation of small to medium technical projects related to system as needed
  • 5% Regularly communicates with internal leadership to assess efficacy of system and discuss improvements and new features

Unique Responsibilities:

  • 5% Develop prepare and analyze data relevant to office services such as website & other social media usages study abroad participants course equivalents and study abroad applications. Incorporate campus data into relevant reports.

Tasks:

  • Administration and oversight of International Academic Programs database system. Supports maintains manages database system including design and implementation of solutions to support IAPs educational mission.
  • Administers web-based platforms that support students faculty and staff involvement in/with study abroad educations programs. Oversee the maintenance of the office website/other web interfaces and its integration with the database.
  • Serves as project manager for database/online system use and integration for IAP. Works with students faculty and staff to solicit feedback on needs and translate those needs to various academic and service functions.
  • Participates in the development and implementation of strategic planning with respect to database/online system.
  • Works closely with staff from the Division of Information Technology (DoIT) and other campus units such as the Office of the Registrar Bursars Office and academic units to support the academic and service needs of those units.
  • Participates in office committees and working groups to help with program and office administration.
  • Assists with the development and monitoring of the database/online system budget.
  • Plans and participates in website development implementation maintenance and support; Acts as a training and trouble-shooting resource for staff.
  • Assists with general technology use and support for IAP. Serves as a point of contact for vendor(s) and work with staff to solicit feedback on technology needs and translate those needs to various work functions.

Compensation:

The expected salary for this position is $70000-$8000 the final salary will be determined based on skills and experience.

    Project Management and Office Skills:

    • Working knowledge of project management techniques.
    • Excellent organizational skills including project management skills and experience.
    • Demonstrated experience working successfully in a high-traffic high-demand environment and ability to establish and meet deadlines in a timely manner. Demonstrated ability to prioritize multiple tasks and requests.
    • Excellent interpersonal communication and writing skills including the ability to interpret staff needs into technical solutions.
    • Effective listening skills.
    • Demonstrated ability to collaborate with cross-functional operational areas. Ability to consult with and effectively train users of database systems.

    Technical skills and knowledge in areas that may include:

    • Understanding of online databases
    • Web Authoring software
    • Wordpress preferred
    • Web accessibility and usability principles
    • CSS
    • HTML5
    • Project management tools (preferably Gitlab)
    • MS Office (Word Excel SharePoint Outlook)
    • Adobe products Photoshop Acrobat
    • PeopleSoft

    Education:

    Bachelors Degree Required

    Major in Computer Science Information Science Data Science or related field preferred.
