Job Description

Working/Functional Title

Support and Intake Coordinator

Position Summary

The Office of Civil Rights and Title IX Education and Compliance (OCR) invites applicants for the position of Support and Intake Coordinator who serves on the team that is responsible for initial contact and response to concerns reported to OCR and reports to the Director of Support and Intake. This positions primary responsibilities include case management and the coordination of support and campus resource referrals for MSU community members. This position will serve on the team that is responsible for the incident response function and will be responsible for the following duties:

Case Management

  • Receipt and response to reports of harassment and discrimination (including sexual misconduct) by phone in-person and/or virtual or digital platforms in a trauma-informed and inclusive manner
  • Assessment of reported information for applicable potential policy violations
  • Accurate and professional communication to parties campus partners and other staff
  • Record detailed case information/documentation in electronic case files
  • Independently follow-up on communications from community members and campus partners
  • Organized management of a large caseload
  • Maintains case records by reviewing case notes logging new information and reporting updates as needed

Support & Accommodations (30%)

  • Coordination of requests for interim and supportive measures as outlined in the Relationship Violence and Sexual Misconduct Policy and the Anti-Discrimination Policy. Communication and coordination of academic and work alterations with claimants respondents witnesses academic units and employment units.
  • Collaboration with campus and community support services to provide continued access to employees and students educational activities.
  • Collaboration across university colleges and departments to assure students and employees have equal access to the benefits of education and employment.
  • Evaluate community members needs in order to provide supportive measures.
  • Assist in administering modifications for parenting students and students affected by pregnancy childbirth and pregnancy-related conditions

Campus & Partner Support

  • Development of public-facing resource materials to support the process and provide transparency.
  • Identification and collaboration with key campus partners to develop inter-office protocols for specific types of supportive measures.
  • Representing the office through service on university committees.
  • Development of internal protocols and processes to improve the efficiency and consistency of the process.

Unit Administration & Support

  • Attendance and ability for public speaking to present information at various meetings
  • Maintains privacy and confidentiality in response to sensitive disclosures
  • Prepares case reports for various case management meetings
  • Engage in ongoing training and development related to Civil Rights and Higher Education
  • Other duties as assigned.

Minimum Requirements

Knowledge equivalent to that which normally would be acquired by completing one to two years of college or Associates degree program in business psychology social work criminal justice or in a related field; three to five years of related working experience in coordinating needs and services collecting information and maintaining data collection and documentation database; preparing final reports and working with partnering agencies or departments; or an equivalent combination of education and experience.

Desired Qualifications

  • Bachelors Degree
  • Experience with managing a large case load or other high volume of work
  • Professional experience supporting and or working one on one with individuals impacted by harassment discrimination or sexual violence
  • Demonstrated commitment to diversity equity inclusion and trauma informed practices
  • Proficiency in Microsoft Office Suite and Case Management Systems
  • Work experience in case management including as a care manager or related experience
  • 1-3 years of professional experience at an institution of higher education or equally complex organization
  • Knowledge or a willingness to learn relevant state and federal laws and regulations including Title IX Title VII the Clery Act the ADA the ADEA the Elliott-Larsen Civil Rights Act and FERPA
  • Experience working one-on-one with individuals impacted by relationship violence sexual misconduct protected status harassment or discrimination
  • Experience or knowledge working in collaboration or within a universitys student conduct system or civil rights investigation processes
  • Understanding or willingness to learn about how reporting or response may be impacted based on identities such as race gender sexual identity religion disability color ethnicity and national origin and a dedication to improving response for all identities
  • Demonstrated ability to maintain communication and productivity in a hybrid environment
  • Experience managing multiple priorities and meeting deadlines in a high-volume office environment
