Job Duties:

Join the L&S Project Management team in this Project Coordinator role!This is a new role that will work with the Administrative Projects Manager and functional team leads to support optimization of the structure and processes of the recently formed L&S Administrative Regional Teams that consist of the administration teams for HR Finance and Research Administration for all L&S units. In this role you will be responsible for coordinating cross functional process improvement efforts managing administrative regional team communications supporting strategic initiatives maintaining standard documentation and resources and serving as a central point of contact for stakeholders. The ideal candidate has a background in project coordination and process improvement advanced communications skills and enjoys working with diverse stakeholders and leaders in a collaborative environment.

This position is full time and has a hybrid work schedule.

Key Job Responsibilities:

  • Develops schedules coordinates and prioritizes project work plans in accordance with specifications and resource limitations
  • Perform outreach to varied stakeholders to engage them in feedback sessions as part of a continuous improvement culture
  • Analyzes data and trends compiles progress reports and provides appropriate recommendations or conclusions
  • Develops enhances and maintains operational standards and systems to support project teams
  • Serves as the initial point of contact for the project(s) serves on committees and attends meetings representing the interests of the project(s)

The College of Letters and Science (L&S) is the heart of UW-Madison and home to a tremendous breadth and depth of departments and degree-granting programs in the humanities; natural physical and mathematical sciences; social sciences; and the computing data and information sciences.

Compensation:

The typical starting salary for this position is $52000 - $74000 depending on qualifications and experience. Employees in this position can expect to receive benefits such as generous vacation holidays and paid time off; competitive insurances and saving accounts; and retirement benefits.

Required Qualifications:

  • Demonstrated customer service orientation with the ability to listen ask appropriate questions analyze stakeholder needs (whether stated or not) and determine appropriate responses and resources to resolve issues.

  • Strong interpersonal skills that promote trust and mutual respect. Ability to work effectively with a variety of constituents with diverse backgrounds.

  • Ability to efficiently perform related administrative support functions such as scheduling meetings preparing agendas updating schedules and maintaining project documentation.

  • Ability to work independently and effectively manage and prioritize multiple tasks/responsibilities from several staff with little or no daily supervision.

  • Excellent written and verbal communication skills.

  • Proficient with Microsoft Office 365 Suite (Word Excel and Power Point).

  • Ability to maintain confidentiality and use discretion in handling sensitive issues.

  • Ability to analyze and improve work processes to improve the efficiency and effectiveness of the project team.

Preferred Qualifications:

  • Experience working in non-profit government higher-education or other complex management/governance environment.

  • Knowledge of and experience with operational personnel financial and procurement policies processes and expectations.

  • Familiarity with project coordination project management and project tracking tools or systems.

  • Ability to manage detailed tasks resources and costs using tools like MS Project MS Teams or other project related software tools.

  • Demonstrated experience building strong highly collaborative working relationships.

  • Demonstrated success influencing without authority.

Education:

Bachelors Degree Preferred Minimum
