The purpose of the Administrative Coordinator I is to support the Executive Assistant with coordination of financial human resources administrative functions and formal agency correspondence. Assists General Counsel with internal training and compliance functions. Supports the Director of Government Affairs with legislative monitoring and administrative tasks.
Responsibilities of the Administrative Coordinator I:
- Provides administrative coordination for financial and human resources functions in the Office of the Secretary supporting the Executive Assistant. Serves as Assistant to the Executive Assistant responsible for daily administrative functions to include correspondence preparing and submitting Shared Services HR paperwork and updating and maintaining Secretarys calendar. As required assumes the duties and responsibilities of the Executive Assistant for periods of up to five consecutive workdays.
- Assists in monitoring and recording minutes and provides an Executive Summary of General Assembly key meetings to include both chambers and committee meetings as required by the Director of Government Affairs. Conducts legislative research provides updates and staff products as required from both internal and external stakeholders. Monitors and attends departments internal legislative battle rhythm events as required and assists Director of Government Affairs with staff deliverables as directed by the Chief of Staff or Secretary.
- Presents select internal training classes for the Office of General Counsel. Tracks initial completion and subsequent required refresher classes for all required trainings. Assists in communication with internal stakeholders regarding the same.
- Serves as backup for inventory functions and IT equipment management including copier and printer supplies and maintenance. Assures adequate supplies are on hand for new and existing employees. Coordinates tasks related to building maintenance and upkeep including communications with landlord and oversight agencies. Manages the calendar for 305 Conference Room reservations for the Secretary Chief of Staff Executive Staff and the agency.
- Other duties as assigned.
Minimum and Additional Requirements
A high school diploma and five (5) years experience in business management public administration or administrative services OR a bachelors degree and three (3) years experience in administrative services human resources public administration or business management may be substituted for the required work experience.

Additional Requirements:
- Position may require employee to work evenings weekends and during emergency situations.
- Position requires routine driver duties.

- Employee must have and maintain a valid drivers license.

A bachelors degree is preferred.
