About the Role:
We are seeking a meticulous and proactive Accounts Payable Specialist to join our property management finance team. The AP Specialist is responsible for ensuring timely and accurate processing of vendor invoices expense reimbursements and other payables maintaining strong internal controls and supporting overall financial operations. The ideal candidate thrives in a fast-paced environment communicates clearly and demonstrates attention to detail in all financial processes.
Key Responsibilities:
Accounts Payable & Financial Processing
- Review code and process vendor invoices expense reports and payment requests accurately and in a timely manner.
- Prepare payments via ACH wire transfer check or other approved methods ensuring proper approvals are obtained.
- Reconcile vendor statements and resolve discrepancies efficiently.
- Maintain organized AP records and documentation to ensure audit readiness.
Compliance & Controls
- Ensure compliance with internal policies contractual terms and applicable tax regulations.
- Assist in maintaining internal controls to safeguard company assets.
- Support monthly close processes by providing accurate AP reports and summaries.
- Collaborate with finance and property management teams to resolve AP-related issues.
Process Improvement & System Use
- Utilize accounting and property management software (e.g. QuickBooks Yardi AppFolio or similar) to manage payables and track expenses.
- Identify opportunities for workflow and process improvements in AP operations.
- Assist with ad hoc reporting reconciliations and projects as needed.
Qualifications:
- Bachelors degree in Accounting Finance or related field preferred.
- 25 years of accounts payable experience preferably in property management real estate or related industries.
- Strong understanding of accrual accounting vendor management and AP processes.
- Proficiency with accounting software and advanced Excel skills.
- Exceptional attention to detail organizational skills and ability to meet deadlines.
- Excellent communication skills in English; bilingual skills (Spanish/Portuguese) a plus for LATAM candidates.
