Job Summary
The Development Coordinator supports donor relations fundraising and volunteer initiatives as part of the Development team.
Compensation
This position will start at an hourly wage of $25.64/hour. This compensation is not negotiable as it reflects the current budget.

Reporting
Reports to the Development Manager
Responsibilities
Fundraising and Sponsorships (55%)
Implement fundraising campaigns with guidelines provided by the Development Manager (drafting finalizing approving fundraising content and coordinating with Marketing on delivery)
Participate in the development of a fundraising strategy
Develop and implement the donor journey (drafting copy and coordinating with Marketing for logistics)
Assist in drafting grants as needed
Coordinate the creation and distribution of donor stewardship materials such as cards and pins including creating and maintaining a tracking system and coordinating with Operations for mailout
Conduct donor stewardship activities such as thank-you calls and letters
Support the planning and execution of in-person and virtual fundraising events
Complete post-campaign and post-event reports and support the Development Manager in writing quarterly reports
Provide administrative support to the sponsorships portfolio
Database and Administrative Support (25%)
Support the backend logistics of our donor databases (checking and removing duplicate records updating payment information tracking relationships issuing tax receipts ensuring donor benefit levels are tracked accurately executing routine tasks such as third-party donations coding and Stripe reconciliations)
Support the organization of the Development Teams shared server ensuring audit preparedness and privacy compliance
Prepare and segment donor lists for mailings under parameters set by the Development Manager
Maintain a set of assets such as images or validator quotes that can be used for building a case for support for proposals and sponsorship acquisition
Volunteer Stewardship and VQFF (20%)
Coordinate and deliver volunteer stewardship activities
Execute Festival Campaign pieces (writing copy creating and printing donation forms coordinating with Operations on any gaming activities coordinating with Marketing on pre-Festival activations)
Support Development activities at the Festival such as live asks
Support Festival operations as per staffing requirements
Qualifications
Knowledge Skills Abilities
Strong English language written and verbal communication skills (additional languages considered an asset)
Enjoy working with people and building relationships to support queer socially-driven arts causes in your community
Enjoy developing engaging and relevant promotional campaigns
Detail-oriented
Passion for 2SLGBTQIA rights and/or queer art
Comfortable with data management and associated problem-solving
Gather analyze and maintain statistics and can produce insightful reports for internal and external stakeholders
Able to apply anti-racist and anti-oppressive principles to development activities
Training and Experience
Experience building reports in donor Customer Relationship Management systems
Experience working with data such as budgets and mailing lists in Excel and Google Sheets
1-2 years of experience working in nonprofits particularly in a fundraising capacity
Experience writing for a diverse audience and copy editing

Working Conditions
Schedule
22.5 hrs/week; flexible schedule between Monday and Friday with some evenings and weekends required
Expected evening/weekend commitments as follows:
1-2 donor events quarterly
1-2 off-season programming events quarterly
During the Festival all staff are required to be available for 10 of the 11 days
Evening and weekend work is reflected in Out On Screens banked hour system; staff can take time in lieu to ensure a balanced work week with supervisor approval
Physical Workspace
Out On Screen is currently working in a hybrid format with selective work-from-home support in place
Our office is located in Chinatown:
Hot-desking via booking app
Elevators up to the unit
2 single-stall enclosed un-gendered washrooms on the same floor as our office
All doors are unpowered and a minimum of 30 wide
Our office is scent-reduced but communal spaces are not
A communicable disease plan is in place and is available upon request
Secure bike parking is available on site
Dog-friendly office (with an affectionate Weimaraner-in-residence)
Vacation/Time Off
Three weeks paid vacation with some limitations on vacation surrounding the festival
Paid office closure at the end of the year (e.g. December 23 2024 - January 6 2025)
Sixteen (16) paid health and wellness days each year
Additional paid holidays for Indigenous Peoples Day Boxing Day and Easter Monday each year.
Option to swap statutory holidays in order to observe different religious holidays or cultural events including Indigenous ceremonies.

Interviews are usually 60 minutes in length and will be held roughly between 14 and 16 October

Hiring decisions are made roughly a week after all interviews are complete
An ideal start date is 17 November pending the availability of the candidate
