Job Summary

4 More Capital Partners is a boutique real estate investment firm specializing in solving complex corporate and real estate challenges through strategic advice and hands-on asset management. We operate across Germany Austria and the UK focusing on delivering transparent results-driven solutions for our clients. Since 2023 we have also invested in a small trading business and intend to continue acquiring businesses outside the real estate space. As a dynamic and growing firm we value precision efficiency and integrity.

Tasks

We are seeking a highly organized and proactive Virtual Assistant with the highest degree of integrity and trustworthiness to provide comprehensive administrative and operational support. The ideal candidate will be a master of organization an excellent communicator and someone who can anticipate needs and manage tasks with precision. You will be a cornerstone of our operations ensuring that administrative processes run smoothly and efficiently.

Key Responsibilities:

  • Task Management: Proactively identify tasks from various sources (e.g. emails calls) and meticulously track and manage them using tools like Todoist or Microsoft Planner.
  • Email & Contact Management: Efficiently manage and organize inboxes and contact lists to ensure seamless communication and follow-up.
  • Execution Tasks: Handle a variety of logistical tasks including itinerary planning booking flights and accommodations and managing invoices.
  • Financial Administration: Prepare and manage a statement of assets for banks lenders and other stakeholders. Support the accountant with tax-related documentation and preparation.
  • Document Management: Meticulously file and organize documents within our SharePoint system ensuring all files are easily accessible and logically structured.
  • Research: Conduct thorough research on various topics to support ongoing projects and initiatives.

Working Hours:

This is a fully remote position with flexible hours. However the ideal candidate will be able to align their schedule with German business hours to accommodate occasional calls and meetings.

Requirements

Must-Have Qualifications:

  • Advanced Excel Skills: Proficiency in Microsoft Excel for data management analysis and reporting.
  • Outlook Expertise: Deep knowledge of Microsoft Outlook for email and calendar management.
  • Meticulous Documentation: Exceptional documentation and file management skills with a strong understanding of best practices for digital document storage and organisation in Onedrive / SharePoint.
  • Productivity: Proficient in using AI assistants such as Gemini and GPT to enhance productivity and efficiency.
  • Language Proficiency: Fluent in German (required).
  • Integrity: Demonstrated ability to handle confidential information with the utmost discretion and trustworthiness.

Bonus Skills:

  • Microsoft Admin Experience: Experience with Microsoft 365 administration is a significant plus.
  • Language Skills: Proficiency in Spanish is a plus.
