GENERAL DESCRIPTION:
The Wyoming Board of Parole is seeking a motivated person to fill the Business Office Coordinator position to perform various tasks and functions. The desired candidate will be able to work independently with little supervision have the ability to multitask take the initiative be very detail-oriented prepare reports as required and have a good understanding of a variety of software programs. This position requires an individual with multitasking abilities and is instrumental in the operations of a small office.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function that may be performed in the job level.
- Assists the Executive Director in the oversight of daily operations and functions of the office.
- Performs a full range of fiscal functions including computation and payment of vouchers and contracts fiscal transactions in the WOLFS accounting system P-card purchases inventory Budget & IBARSfixed assets and reconciliation
- Assists the Director with document preparation of the strategic plan annual report biennial budget and litigation discovery requests from the Attorney Generals Office.
- Assists in the preparation of Board Policy and Procedures and tracking them through the Governors Office.
- Tracking of pertinent legislative issues for the Executive Director during the Legislature Session.
- Assists in the preparation of office work procedures.
- Assists in the training of support staff.
- Provides answers or directions to public/other agency requests.
- Performs telephone reception screening and proper direction.
- Assists in the preparation and dissemination of parole documents including but not limited to petitions for revocation of parole and arrest orders.
- Receives logs and distributes incoming mail and processes outgoing mail.
- Office documentation and preparation and management of an extensive filing system for daily use and archiving.
- Maintenance of critical information and statistical data for use in strategic planning and annual reports.
- Coordinates travel arrangements for APAI and quarterly business meetings.
- Handle parole good time award requests.
- Travel may be required to assist the Board with parole hearings.
- Other duties as assigned
Qualifications
PREFERENCES:
Preference will be given to those with three or more years of progressive work experience within the State Accounting System.
KNOWLEDGE:
- Knowledge and proficiency with office software processes and systems including but not limited to Microsoft Word Suite software Google software WOLFS and IBARS.
- Skills in oral written and interpersonal communications necessary to interact with the public agency management and staff.
- Knowledge of the administrative and clerical procedures and systems.
- Knowledge of record-keeping and preparation of reports.
- Knowledge of bookkeeping and accounting principles.
- Knowledge of planning programming and fiscal management.
- Knowledge of principles of customer service and process improvement.
- Knowledge of advanced research analysis and compilation of data.
- Knowledge of agency rules and regulations.
- Knowledge of working in the state government.
MINIMUM QUALIFICATIONS:
Education:
Bachelors Degree (typically in Business)
Experience:
0-2 years of progressive work experience (typically in Business)
OR
Education & ExperienceSubstitution:
3-5 years of progressive work experience (typically in Business)
Certificates Licenses Registrations:
None
Necessary Special Requirements
PHYSICAL WORKING CONDITIONS:
- This is an indoor office setting.
- Some lifting of heavy boxes may be required.
