Job Duties:

This position serves as the administrative manager of the school office. The administrative specialist reports to the Assistant Dean of the school and works to ensure an effective and efficiently functioning office and school.

The position requires a self-motivated individual who can work with limited supervision. A high level of confidentiality sound judgement and strong public relations skills are required. The administrative specialist position is essential to the effective administration of the school.

This position is 87.5% FTE; full-time (40 hours per week) during the academic year and part-time (20 hours per week) during the summer.

Key Job Responsibilities:

  • Implements and executes established policies and procedures for a designated work unit to adhere to unit objectives and to align with established strategies
  • Schedules logistics and secures resources for a designated work unit to contribute to the day-to-day operational success
  • Analyzes data and trends compiles progress reports and provides appropriate recommendations or conclusions in support of the assigned operational work unit(s)
  • Assists recommends and advises staff on unit or program administrative issues personnel matters and budgetary problems
  • Serves on committees and attends meetings representing the interests of the unit or program

Department:

The School of Behavioral and Social Sciences (SBSS) is one of four within the College of Letters and Science. It houses four departments: Psychology Sociology and Social Work Political Science and Geography and Geology. There are about 36 faculty and instructional academic staff members who teach in these departments along with their scholarly and service activities. The SBSS is also home to the Map/GIS Center and the Center for the Small City.

Compensation:

Starting at $20.19 per hour based on qualifications and experience

Required Qualifications:

  • Bachelors degree or 1-3 years of related professional experience
  • Strong interpersonal communication skills in both written and oral forms
  • Organizational and problem-solving skills including the ability to handle multiple projects direct office staff set priorities meet deadlines and maintain high-level performance in a fast-paced environment
  • Ability to work independently and gather necessary data with minimal guidance
  • Ability to produce effective data reports for budgeting and decision-making purposes
  • Extensive computer capabilities (word processing spreadsheet database design)

Preferred Qualifications:

  • Experience managing a department program or division
  • Experience managing budgets and financial operations
  • Working knowledge of office procedures and University policies
  • Working knowledge of system software (i.e. Workday Qualtrics etc.) or demonstrated ability to learn new software and systems
  • Ability to work with diverse stakeholders in a professional manner. These stakeholders could include faculty administrative staff donors and parents.
