Working Hours
Work will be scheduled generally from 8:30 a.m. to 5:30 p.m. Monday through Friday. However there may be times when the employees must work after duty hours and/or on weekends to support specific tasks. Although the schedule may have to be flexible it will not exceed 40 hours per week. Temporary alternate work locations may be assigned.
Mandatory Qualifications
- Minimum of an Associates degree required; Bachelors degree preferred ideally in Business Administration Management or a related field.
- At least 7 years of relevant work experience
- Experience in creating and implementing organizational or administrative management policies and procedures
- Ability to evaluate program effectiveness and recommend improvements
- Experience managing an agency project report library
- Experience with other administrative services like office management building and facilities management human resources and/or security
- Ability to provide training and technical assistance to staff
- Experience in information and records management
- Proficient in the use of a variety of IT programs databases and computerized systems
- Excellent written and verbal communication skills
- Commitment to innovative and quality customer service
- Physical ability to move a large number of files and/or file boxes
- Experience providing on-site technical support troubleshooting issues with AV equipment during events such as microphone and monitor connectivity presentations or visual material access
- Experience creating and editing audio-visual content such as presentations and videos
- Experience setting up conference board or training rooms
- Ability to manage multiple tasks prioritize work and meet deadlines
- Ability to identify and resolve complex problems
- College degree required in business or information management and/or related certifications

Duties/Responsibilities:
USTDA hosts approximately 50-60 events a year including internal agency meetings and training sessions for which general support is required. There are a total of seven (7) conference rooms (also known as Large Conference Room Small Conference Room Board Room; Library Room; Directors Conference Room; Map Room; Surge Room and one (1) training center (also known as the Business Center). The Contractor shall:
- Handle the reservations for and coordinate USTDAs Business Center and other Agency conference rooms (with the exception of the Directors Conference Room) scheduling agency meetings trainings and high-level delegation events (also see Section D.1.3.2.1.).
- Maintain an events calendar for the Business Center. Maintain a calendar for all Agency conference rooms including reviewing for approval upon staff booking.
- Perform physical room set-up of furniture in addition to refreshment stations set-up of Audio Visual and teleconferencing equipment in support of guests events and meetings for all conference rooms and the training center as required.
- Ensure conference room equipment is operable and troubleshoot minor connection issues.
- Receive training in the management of operational functions of conference room audiovisual equipment.
- Provide support to the CIO/Deputy CIO for system-related IT issues and upgrades.
- Work with the audiovisual subcontractor to set up repair visits as needed.
- Coordinate audiovisual issues through the COR before setting up technical repair visits.
- Conduct walk-through of conference room spaces and training center twice a week to check the system and equipment function and elevate issues to the COR for Agency support.
- Ensure all conference rooms and training center kitchens and pantries are well-stocked functioning and ready for events. All debris is disposed of and cleaned by COB on the day of each event. Coordinate with Agency staff contractors caterers building staff and others to facilitate meeting preparation.
The contractor shall maintain orderliness of the Agency Training Center and conference rooms by moving refreshments and conference meals from the Training Center and Conference Rooms to Agency kitchens and ensuring the kitchens are cleaned at close of business.
