Bow Valley College is seeking a detail-oriented and proactive Academic & Faculty Scheduling Coordinator to support the efficient and effective delivery of Health programs. This pivotal role is responsible for coordinating academic scheduling and faculty workload planning ensuring a seamless experience for students faculty and staff across the School of Health and Wellness.
Reporting to the Associate Dean this position plays a vital role in developing managing and maintaining course and faculty schedules each semester. Key responsibilities include monitoring enrolment data to determine course section needs entering course information into internal systems such as DCU managing cross-listing coordinating off-site schedules and facilitating exam and assessment planning. The Coordinator also prepares loading sheets intake reports and submits offering data for online course shell creation. The goal is to ensure accurate student-focused and operationally sound scheduling across all program areas.
In addition to academic scheduling the role oversees annual faculty workload planning in collaboration with Program Chairs and the Associate Dean. This includes assigning faculty to courses monitoring vacation coverage and coordinating replacement staff due to short-term leaves ensuring credential and program alignment. The Coordinator also supports onboarding of new casual instructors providing orientation requesting system access and offering training on timesheet procedures. Furthermore the position ensures timely review and submission of faculty timesheets and participates in organizing professional development and clinical orientation events.
The ideal candidate will have a minimum of a diploma (Bachelors degree preferred) and at least two years of directly related experience ideally in an educational or post-secondary environment. A strong knowledge of college scheduling practices student information systems and academic resource planning is essential. The successful candidate will demonstrate excellent organizational analytical communication and customer service skills. Proficiency in spreadsheet and word processing software is required along with the ability to learn and adapt to new technologies quickly.
This position requires sound decision-making skills particularly in high-pressure or time-sensitive situations and the ability to resolve conflicts in a fair and professional manner. Familiarity with the BVC Faculty Agreement is considered an asset.
