Job Summary

Reporting directly to the Executive Director the Executive Assistant provides support in a one-on-one working relationship. The Executive Assistant serves as the primary point of contact for the Executive Director and serves as a liaison with the Board of Directors. The Executive Assistant must be creative and enjoy working within an environment that is mission-driven results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations and will possess strong written and verbal communication administrative and organizational skills. The ability to maintain a realistic balance among multiple priorities is imperative. The Executive Assistant must be able to work under pressure at times to handle a wide variety of activities and strictly confidential matters with discretion.

PRINCIPAL DUTIES:

Provide comprehensive support services to the Executive Director that ensures outstanding communication and responsiveness

Provide sophisticated calendar management; prioritize inquiries and requests troubleshoot conflicts with little guidance make judgments and recommendations to ensure smooth day-to-day engagements

Support Executive Director with internal and external communications including writing and editing e-mails drafting memos and preparing communications on the Executive Directors behalf

Support and manage a high-volume of requests and projects to meet the objectives of the Executive Director

Manage all scheduling for the Executive Director

Research and secure grant funding as designated.

Prepare and edit correspondence presentations reports and memos

Complete expense reports and manage correspondence with vendors as requested by the ED

Assist Executive Director in approving and tracking vacation and paid leave of direct reports

Support the Executive Director in strategic communications organizational strategy and all other special projects as assigned

Organize meetings and events for various meetings as requested by ED

Serve on the events committee offering broad support in the planning and execution of events

Attend meetings on behalf of Executive Director as requested

Maintain quality filing and communications systems including contact management document management and archiving

Support Executive Director with donor/funder and public relations as needed

Supports the training initiatives of the Executive Director and Internship program

Prepares the Board of Directors Agenda as directed by the Executive Director

Maintains the Board Book keeping all Board records up to date

Prepares the Leadership Team (LT) Agenda; Schedules and attends LT Meetings

Assist in other administrative tasks as needed by Executive Director

QUALIFICATIONS:

Experience: 2 years related work experience

Familiarity with non-profit sector is desirable but not required

Associate degree or bachelors degree in an English Communications or a business discipline is desirable but not required

Strong interpersonal skills with the ability to take initiative multi-task be a team-player be flexible adapt to shifting priorities and prioritize work

Excellent communication skills both verbal and written

Demonstrated writing and analytical skills

Excellent organizational skills commitment to accuracy and attention to detail

Ability to access a wide range of sources and networks for information

Good judgement and ability to function independently

Good working knowledge of all Microsoft Office applications Google Docs and Adobe

Ability to engage in effective time management

Ability to handle sensitive and confidential situations with diplomacy

Highly experience in electronic communications

COMPENSATION:

This is a full-time exempt position. Salary is commensurate with experience; full benefits package offered.

ABOUT SUCCESSFUL LIVING:

Successful Living is a non-profit agency that works with adult clients 18 years and older who live with chronic mental illness. Clients are supported through (5) programs which include Rehabilitation Housing Supported Community Living Intensive Psychiatric Rehabilitation Day Habilitation and Peer Support.
