    Position Summary:
    This position supports Special Education by maintaining complete and accurate student data and acting as the main point of contact for the department.

    WHAT YOU WILL BE WORKING ON:
    The essential functions of this position may include but are not limited to the following fundamental duties:

    Serve as special education student information contact

    1. Develop maintain analyze update and compile accurate special education Student Information System (SIS) data for extraction as needed to comply with state and federal reporting requirements
    2. Generate reports from the SIS and SpEd Forms as requested from administration
    3. Ensure that enrollment status and special education services are updated and accurate for state aid funding purposes
    4. Complete enrollments for Early Childhood Special Education eligible students already registered in the SIS
    5. Coordinate attendance/membership system with ECSE and the district SIS
    6. Fulfill special education records requests from other school districts/agencies
    7. Troubleshoot SIS SpEd Forms issues for staff and work closely with the SIS department to maintain updated knowledge of the system and its features
    8. Work with department members and district staff to continuously improve and implement procedures for the effective collection storage retrieval and dissemination of student information in accord with the needs and policies of the school district and applicable state and federal laws
    9. Create/maintain all 504 plans in the SIS and SpEd Forms systems
    10. Attend necessary meetings and/or trainings offered by the state department of education and SIS vendor and SpEd Forms that apply to special education student information
    11. Provide clerical support to EL coordinator with duties surrounding the SIS to ensure record- keeping enrollments and reporting is accurate in coordination with MARSS
    12. Oversee district Section 504 documentation system ensure schools are complying with annual reporting requirements update student enrollment information to reflect Section 504 status
    13. Coordinate training and training details with special education leadership
    14. Lead administrative assistant support to the Director of Special Services

    Serve as assistant to the Director of Special Services
    1. Act as the main contact for the special education department at early childhood
      • Maintain positive phone email and face-to-face communication with parents staff members and community members
      • Check voicemail and email on a regular basis and respond to correspondence in a timely manner (usually within 24 hours)
      • Receive new enrollment notifications (for both IEP and 504 plans) from the online registrations system obtain special education records through SpEd Forms or upload documents into SpEd Forms when obtained
    2. Perform general clerical functions (e.g. scheduling copying faxing data entry filing answering telephone opening mail greeting individuals etc.) for the purpose of supporting office operations
    3. Complete clerical tasks required for extended school year (ESY) programming including enrollments ESY notification for non-resident students and ESY correspondence to parents and staff as requested
    4. Prioritize tasks and projects on a daily basis and on the annual cycle
      • Manage multiple requests simultaneously while meeting project deadlines
      • Maintain organized work area in which documents are easily accessible to the administrators
    5. Develop and update process documents for department
    Other duties
    1. Processes all ordering that occurs in the department including accurate completion of requisitions purchase orders P-Card receiving merchandise following up on billing discrepancies and recording equipment inventory.
    2. Perform other duties as assigned by the Director of Special Services.

    WHAT WE ARE LOOKING FOR:

    2. Experience with general office procedures
    3. Ability to work in a team environment
    4. Experience with computer applications (Google Suite MS Word Excel PowerPoint)
    5. Experience with Infinite Campus and SpEd Forms preferred
    6. Experience with and understanding of state MARSS procedures preferred
    7. High School diploma required two-year college degree preferred

    • 8 hours per day
    • 261days per year

    PAY RATE:
    • Position classified LEAF B-2-3
    • $22.76 - $27.04 per hour depending on experience
