Description

Position Title: Associate Director of Alumni Volunteer Engagement - 1/2 Campaign.
Department: Alumni and Parent Relations.
Classification: Exempt.
FTE: 1.0
Work Schedule: The standard 40-hour work schedule is Monday - Friday 8:00 am - 5:00 pm; flexible work arrangements can be proposed and are subject to approval by HR and relevant supervisors; Some evening and weekend hours required. Travel up to 15% of the work schedule which includes local (Twin Cities metro area) and national travel; overnight trips average 2-3 trips per year.
Work Location: Hybrid. On Campus: Tuesday Wednesday Thursday. Remote: Monday and Friday.
Salary Range: $56000 - 63000.

Essential Job Duties:

  • Lead St. Olafs Alumni Volunteer Engagement Program

    • Manage the alumni volunteer pipeline for St. Olaf College. Develop and execute strategies for engaging alumni as volunteers for the mutual benefit of alumni and St. Olaf. Implement and maintain best practices for volunteer management collegewide ensuring alignment with industry best practices.

    • Collaborate with campus partners and program managers to understand the opportunities available for St. Olaf alumni volunteers. Develop an inventory of all volunteer opportunities across the college. Ensure a variety of opportunities are available to alumni from micro-volunteer roles (one hour half day or one day) through formal volunteer roles serving on boards and councils (multi-year commitments). Provide ongoing support and oversight to faculty and staff who offer volunteer opportunities for alumni.

    • Support campus partners and program managers to recruit alumni volunteers as requested. Oversee the onboarding and offboarding process to ensure alumni have a consistent experience when volunteering for the college.

    • Support campus partners and program managers to develop and maintain volunteer resources including job descriptions training materials and confidentiality agreements.

    • Establish a comprehensive volunteer recognition program to steward and celebrate the contributions of alumni volunteers.

    • Develop and implement a risk management plan for all alumni volunteer activities to ensure the safety of volunteers and the protection of the college.

    • Partner with Advancement Operations and Strategies to track and report alumni volunteer engagement in a manner consistent with CASE guidelines. Set annual goals for the number of alumni volunteers and report on how volunteering leads to future engagement with the college.

  • Lead St. Olafs Reunion Alumni Volunteer Program

    • Create and execute strategy and processes to successfully engage alumni volunteers in Reunion planning.

    • Support Advancement staff members who are assigned to class committees.

    • Collaborate closely with the Annual Giving program (St. Olaf Fund) to integrate reunion planning with fundraising objectives. Coordinate class committees to foster an integrated approach that both encourages Reunion attendance and increases giving from reunion classes.

  • Act as the program staff lead for St. Olafs milestone 50th Reunion

    • Support the Senior Development Officer in charge of 50th reunion strategy to achieve engagement and fundraising objectives.

    • Guide a subcommittee of 10-15 volunteers responsible for planning Reunion Weekend programming for their classmates.

    • Collaborate with a multi-person team to plan and execute 50th reunion events ensuring alignment with the strategic objectives and logistical parameters of Reunion Weekend.

  • Support APRs signature events including Reunion and Homecoming

    • As assigned assist with the planning of Reunion Homecoming and other signature events.

    • Provide on-site support during Reunion Homecoming and other signature event weekends.

  • Other Duties:

    • Support the Director in the management and coordination of the Alumni and Family Board (AFB). Liaise with AFB committees as assigned.

    • Support respect and commit to embracing diverse backgrounds values and points of view to build a strong and inclusive community.

    • Complete and meet deadlines for required training and performance management cycle.

    • Perform other duties as assigned.

Supervision Received and Exercised:

  • Reports to the Director of Engagement Alumni and Parent Relations
  • This position does not supervise staff or students.

Required Qualifications:

  • Education: Bachelors Degree; maintain a valid drivers license and meet St. Olaf College driver authorization criteria with a satisfactory driving record.
  • Experience: 3 years of professional experience in volunteer management project management nonprofit management higher education administration or fundraising.
  • Skills and Competencies:
    • Demonstrated ability to build and maintain strong relationships with a diverse range of internal and external constituents.
    • Excellent written oral and interpersonal communication skills including public speaking and presentation abilities.
    • Proven organizational and project management skills with the ability to manage multiple priorities and deadlines effectively.

Preferred Qualifications:

  • Education: N/A.
  • Experience: 5 years of professional experience in volunteer management project management nonprofit management higher education administration or fundraising.
  • Skills and Competencies:
    • Experience using a CRM or database (e.g. Raisers Edge Salesforce) to track constituent data and engagement metrics.
    • Experience with and knowledge of CASE (Council for Advancement and Support of Education) guidelines and metrics for alumni engagement.

  • Employment in this position is conditioned upon successful completion of a background check which may include: criminal background checks reference checks verification of work history verification of any required academic credentials licenses and/or certifications a motor vehicle check verification of DOT certification a credit check employment eligibility verification and/or a pre-employment physical.
