Job Summary

Required Qualifications:

  • Associate degree.
  • Two (2) years of related work experience.

Key Responsibilities:

  • Provides administrative and organizational support to assigned unit including performing research analyzing summarizing and interpreting data preparing Board of Trustee agenda items preparing reports and research documents processing incoming/outgoing mail preparing correspondence and memos creating and maintaining record system for area of responsibility filing faxing and photocopying.
  • Coordinate selection process for Architects and Contractors for projects along with yearly Contractor pre-qualification process including contract preparation and processing.
  • Tracks maintains and reconciles budget information for assigned department; assists with annual budget preparation; completes and submits purchase requisitions; change orders reviews contracts; maintains accurate files and records for area of responsibility.
  • Keeps appointment calendars and schedules meetings and appointments; makes reservations and travel arrangements; receives and screens calls and refers callers to appropriate employees.
  • Calculates and verifies invoices and pay applications to send to Accounting.
  • Track all department Purchase Order balances.
  • Coordinate Direct Purchases for projects tracks balances and tax savings.
  • Procures and receives equipment supplies and services for assigned department; prepares specifications for bids and quotations.
  • Process Building Permit applications and Inspection Requests/Reports.
  • Prepare Agenda and take notes for monthly Facility Advisory Council meetings.
  • Other duties and special projects as assigned and directed by the President or their designee.

Knowledge Skills & Abilities:

  • Successfulcandidates should possess the ability communicate well both verbally and in writing.
  • Be skilled in customer service scheduling recording keeping and possess basic accounting skills.
  • The successful candidate must perform skilled work involving set procedures and frequent problem solving.
  • Possess an eye for detail to produce accurate results proper grammar and business letter composition skills.
  • Must be flexible creative and have the ability to work as a team and independently.
  • Possess the ability to multi-task and be skilled in time management with good organizational skills.
