Geotab is seeking a Business Affairs Coordinator who will support the day-to-day operations of the Business Affairs team by managing contract-related processes coordinating internal reviews and maintaining accurate documentation. As a Business Affairs Coordinator your key area of responsibility will be providing administrative support coordinating contracts contributing to continuous improvement initiatives and helping maintain tools and resources that enable efficient contract will need to work closely with with cross-functional teams including Sales Legal Finance and Compliance to ensure timely execution and tracking of standard agreements letters and supporting materials.
To be successful in this role you will be astrong team-player with the ability to engage with all levels of the addition the successful candidate will have excellent verbal and written communication skills and high accuracy and meticulous attention to detail with an ability to spot and correct errors.
Draft a variety of non-complex letters notices and other documents including process documents.
Coordinate process of standard agreements and letters from initial request (e.g. engage internal stakeholders) to execution (e.g. manage the DocuSign process) archiving (e.g. Spotdraft Google Drive) and updating trackers.
Perform administrative tasks within the Business Affairs team such as supporting contract negotiations by tracking non-standard contractual terms updating trackers Salesforce Spotdraft (contract management platform) and any reports that may be needed.
Engage internal stakeholders (Finance Compliance Accounts Receivable Legal etc. for example) for contract reviews and approvals following up with them on deliverables.
Collaborate with the Legal department for contractual support.
Perform other administrative tasks within the Business Affairs team such as coordinating elements of different meetings by scheduling reviewing meeting notes transcribed by Gemini (internal meetings) drafting meeting minutes (meetings with third parties).
Support in the coordination of ongoing best practices and continuous improvement initiatives for the department.
Assist the team with the training and onboarding of new hires.
Produce reports as needed from different systems.
Maintain an organized system of physical and digital records.
Creating and maintaining contract management-related resources.
1-4 years of proven work experience in administration contract management or legal assistant.
Ability to work with varying seniority levels including staff managers and external partners.
Ability to work in a fast paced environment.
Technical competence using software programs including but not limited to Google Suite for business (Sheets Docs Slides) Spotdraft Litera Salesforce and JIRA.
Entrepreneurial mindset and comfortable in a flat organization.
Experience working within a technical or engineering organization/knowledge of the high-technology industry is an asset.
Experience in sales or sales support contract drafting and negotiation would be considered an asset.
