The Faculty Affairs Program Coordinator is responsible for coordinating Faculty Affairs program activities by performing tasks related to department policies and procedures projects budgets and other activities essential to the success of the Faculty Affairs Office and its assigned programs.
- Coordinate key faculty actions to include reappointments promotions appointment extensions distribution of effort changes track changes and changes in primary appointment. These duties include ensuring all required information is obtained for packets unless waived; processing required approvals; scheduling promotion seminars; preparing and submitting required materials for Faculty Appointments and Promotions Committee (FAPC) review by established deadlines; and maintaining tracking and a current list of pending Board actions. Contribute to ongoing process and quality improvement for these processes.
- Prepare FAPC meeting minutes and obtain required signatures on appointment reappointment and promotion letters.
- Responsible for database management for faculty data entry and maintenance in ISFIT (internal database) Workday and other databases as required.
- Serve as the Faculty Affairs point of contact for external institutional departments regarding reports and data requests.
- Manage the annual Institutional Standing Committees and Oversight Committees review and membership appointment process. Maintain current accurate and complete committee membership data. Update and maintain committee rosters intranet pages and new Standing Committees guide as required during the year. Process requests for mid-cycle committee changes during the year. Support the maintenance of the current Standing Committees presentation/reporting tool (currently executed in Power BI). Support efforts to refine and improve the Standing Committees Management System and related reports to streamline and approve the committee appointment process. Promote the usage of the Institutional Committee SharePoint sites by committee chairs and coordinators.
- Support cross coverage of team members during absences to ensure time sensitive operations are maintained.
- Support other projects as assigned.
Minimum Education and/or Training:
- Bachelors degree required.
Minimum Experience:
- Minimum requirement: 3 years of experience in program management delivery.
- Significant experience working with project planning tools (e.g. MS Project Microsoft SharePoint ServiceNow Smartsheet Clarity Planview MS Office).
Compensation
In recognition of certain U.S. state and municipal pay transparency laws St. Jude is including a reasonable estimate of the compensation range for this role. This is an estimate offered in good faith and a specific salary offer takes into account factors that are considered in making compensation decisions including but not limited to skill sets experience and training licensure and certifications and other business and organizational needs. It is not typical for an individual to be hired at or near the top of the salary range and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current salary range is $70720 - $126880 per year for the role of Faculty Affairs Program Coordinator.
