Job Description

Our client located in Washington DC is seeking a Senior Coordinator of Meetings to join the Events Management team. This is an excellent opportunity to support meetings and the contracting process for a dynamic department while utilizing top-notch customer service skills! This position is hybrid.

POSITION SUMMARY

The Senior Coordinator of Conferences assists in the planning and delivery of local events including committee meetings and DC-based special events for members and other professionals. The Senior Coordinator provides administrative support for meeting planning functions including venue contract submission and tracking in-person event staffing and the delivery of hybrid meetings. This position interacts with senior management professionals from financial institutions as well as numerous departments and team members to achieve event objectives.

RESPONSIBILITIES

Event Management Support

  • Coordinate with key stakeholders including internal clients and event team members to establish and meet event goals and objectives.
  • Assist with sourcing planning and staffing for approximately 20 DC-based committee meetings at local hotels.
  • Collaborate with the executive office and assist in the planning and staffing of two annual government relations special events including theme development menu selection vendor management and onsite support.
  • Maintain historical data such as room blocks and attendance information for committee meetings and recommend process improvements to enhance future events

Hybrid Meeting Support

  • Assist in the scheduling of recorded speaker presentations for select conferences.
  • Support the organizations hybrid conference experiences by collaborating with virtual platform vendors to identify and consider new features to enhance virtual event experiences.
  • Review pre-recorded content to ensure quality standards are achieved.
  • Assist in reviewing the platform before launch to ensure accuracy.

REQUIRED EDUCATION AND/OR EXPERIENCE
  • Associates degree
  • Minimum of three years of work experience in conferences and events
  • Experience in monitoring budgets
  • Excel experience that includes maintaining documents to organize data
PREFERRED EXPERIENCE
  • Bachelors degree in event management or related field
  • Experience in event management
  • Cvent and Workday experience
  • Experience with contracts
