Work hours: 9:00 AM 6:00 PM Eastern Time (including one hour lunch break)
The Sales Operation Coordinator will play a key role in supporting sales operations ensuring timely and accurate order processing maintaining effective communication with customers and factories and improving sales processes. This role requires a detail-oriented proactive professional with strong Excel and Salesforce skills and ideally knowledge of international logistics and ocean shipping procedures.
Prepare sales proposals by creating and modifying DNS and Specs using Excel.
Reconcile purchase orders (POs) with DNS.
Process orders send Specs to factories and follow up on progress.
Coordinate with internal departments and personnel via email Wrike Google Drive and chat tools.
File documents on multiple portals (EDI ADA NRT Damco APL etc.).
Track containers ensure on-time delivery or pickup and provide status updates to customers.
Provide project management support as needed.
Respond to customer complaints and provide after-sales support when requested.
Handle order processing with accuracy and timeliness.
Inform clients of unforeseen delays or issues.
Monitor team progress identify shortcomings and propose improvements.
Set up document and monitor sales processes.
Identify bottlenecks in workflows and recommend solutions.
Promote SKUs and categories to customers to increase order size.
Support senior management with order updates customer communication and reporting.
Perform other clerical or administrative duties as needed.
Bachelors degree in Business Administration Sales Marketing or related field.
Minimum 3 years experience in a sales support or similar business operations role.
Proven track record as a Sales Coordinator Sales Assistant or in comparable administrative positions.
At least 2 years experience with Salesforce (required).
Advanced Microsoft Excel skills (required).
Logistics background preferred especially international ocean shipping terms and procedures.
Strong problem-solving skills with the ability to adapt in a fast-paced changing environment.
Exceptional attention to detail accuracy and organizational ability.
Excellent written and verbal communication skills.
Ability to work independently while maintaining collaborative relationships across departments.
Quick learner with a willingness to expand knowledge and improve processes.
Positive professional attitude with resilience under pressure.
