Job Summary

The purpose of the Administrative Assistant is to provide general high quality administrative support for the Homewood Mountain Resort office management team including but not limited to Base Area and Mountain Operations.

Duties and Responsibilities

  • Provide administrative support to office staff as assigned.
  • Manage schedules and responsible for creating team meetings through Microsoft Outlook and other web-based calendar platforms.
  • Assist in the coordination of in-person meetings including presentation set up and break down.
  • Coordinate meal orders for meetings as requested.
  • Record and distribute meeting minutes as requested.
  • Monitor and inform appropriate people of environmental and compliance submissions and deadlines.
  • Responsible for standardizing the resorts Microsoft SharePoint filing structure.
  • Assist in the coordination and compliance of time attendance and payroll approval.
  • Assist with the preparation and presentation and filing of orientation training material and safety.
  • Daily audit and follow-up of the Daily Operations Summary Report including daily monitoring of all manager payroll inputs.
  • Work on special administrative projects as assigned.
  • Assist in the overall daily office operations which includes answering phones mailing scanning and distributing correspondence.
  • Manage the office environment including ordering or making runs to supply and restock office equipment and other office needs.
  • Coordinate with vendors and subcontractors as requested.
  • Coordinate with other company departments at events and meetings helping as needed.
  • Participate in administrative management and organization

  • Minimum high-school diploma preferably higher education.
  • Minimum 1-3 in a similar capacity.
  • Experience working both independently and in a team-oriented collaborative environment.
  • Experience working in an environment with shifting priorities demands and timelines.
  • Computer literacy.
  • High level of competency with Microsoft Office Suite: Excel Word PowerPoint.
  • Capable of working with remote teams via teleconference and online meetings.
  • Capable of working at length in an office environment with heavy computer use.
  • Capable of soliciting feedback from multiple project participants and following directions.
  • Must be professional and maintain the ability to communicate at different levels in verbal and written form.
  • Must conduct business in a professional and ethical manner with all team members external business associates and coworkers to reinforce goodwill and profitability for the company.
  • Positive attitude professional demeanor and exceptional communication and interpersonal skills to deliver service to guests members and team members.
  • Must possess high level of confidentiality and discretion.

Education and Experience

  • High School Diploma.
  • 1-3 Years Related Experience.

Physical Demands & Working Conditions

  • Lifting and carrying light materials (typically up to 20lbs).
  • Sitting for prolonged periods (often at a desk or computer).

  • Computer/Laptop.
  • Telephone System.
  • Printer copier and scanner.
  • Video conferencing tools (Zoom Microsoft Teams).
