Compensation: $2500 $3000 USD/month (depending on experience)

About the Role We are seeking a highly organized Executive Assistant to serve as a trusted proxy for the Founder of a fast-growing marketing and communications agency.
This role goes beyond traditional executive support while calendar scheduling and day-to-day management will form the foundation you ll also act as an operational partner ensuring clients are onboarded smoothly teams stay aligned and business operations run efficiently. You will be the person who keeps the executive s priorities moving forward often acting on their behalf with both clients and internal teams. It s an ideal opportunity for someone who thrives in a dynamic entrepreneurial environment and wants to grow into broader operations or Chief of Staff responsibilities.
Key Responsibilities Executive Support
- Manage the Founder s calendar appointments and daily priorities.
- Prepare agendas handle follow-ups and ensure commitments are tracked and met.
- Coordinate travel and logistics for both virtual and in-person meetings.
- Act as a direct extension of the executive representing them in communications and keeping tasks on track.
Operations & Coordination
- Client Onboarding: Manage the end-to-end onboarding process including account setup billing Slack access and assigning the right team members.
- Internal Coordination: Serve as the point of contact between clients sales and writers to ensure deliverables and timelines are met.
- Performance Tracking: Collect organize and report on key client metrics such as follower growth and engagement.
- Process Optimization: Spot inefficiencies suggest improvements and support light automation initiatives.
- Team Support: Assist with onboarding new contractors/writers ensuring they have the right context and tools to succeed.
- Follow-Through: Keep both clients and internal teams accountable through reminders nudges and proactive communication.
What We re Looking For - Experience: 3 years in an Executive Assistant Operations or Client Services role (agency/startup background preferred).
- Skills:
- Strong organizational and multitasking ability.
- Excellent written and verbal communication skills.
- Comfortable with data tracking and preparing client-facing reports.
- Confidence in handling client communications on behalf of leadership.
- Tools: Google Workspace Slack; experience with CRMs or project management tools is a plus.
- Personal Qualities: Proactive resourceful detail-oriented and able to operate as the right hand to an executive.
