As we grow were seeking a detail-oriented and proactive Account Coordinator to manage client relationships and order processing internally.
POSITION SUMMARY:
The Account Coordinator supports the Commercial Department in managing client relationships order processing and administrative functions to ensure seamless sales operations. This role is key in supporting domestic and international cannabis sales ensuring compliance with Canadian Cannabis Regulations and EU-GMP standards. The Account Coordinator acts as a liaison between clients internal teams (supply chain logistics finance quality assurance) and external stakeholders to ensure efficient order fulfillment and exceptional customer service.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Client & Account Support
Serve as the first point of contact for customer inquiries providing timely and professional responses.
Support the onboarding of new clients including gathering documentation and coordinating account setup.
Maintain accurate customer records including contracts purchase history and regulatory documentation.
Assist in preparing sales reports presentations and client performance reviews.
Sales & Order Management
Coordinate order entry verification and processing in compliance with Cannabis Regulations and EU-GMP standards.
Monitor inventory availability and liaise with supply chain and logistics teams to confirm shipment schedules.
Track orders from placement to delivery proactively communicating updates to clients.
Assist in generating invoices credit notes and reconciling purchase orders with Finance.
Compliance & Documentation
Ensure all transactions are documented in line with Health Canada and EU-GMP requirements.
Maintain accurate and auditable records of purchase orders shipping documents and client communications.
Support preparation of documentation for export markets including Certificates of Analysis (CoAs) and permits.
Internal Coordination
Collaborate with Quality Assurance to ensure compliance of products being shipped.
Work closely with Sales Marketing and Commercial Management to support promotions and campaigns.
Provide administrative support to the Commercial team including scheduling meetings drafting correspondence and maintaining reports.
Minimum Qualifications:
Post-secondary education in Business Administration Commerce or related field.
13 years of experience in account coordination sales support or customer service; experience in cannabis pharmaceuticals or regulated industries preferred.
Strong understanding of sales processes order management and client servicing.
Familiarity with EU-GMP compliance Health Canada Cannabis Regulations and controlled substance distribution is an asset.
Proficiency with Microsoft Office Suite (Excel Word PowerPoint) and CRM/ERP systems.
