Job Description

Report to:Assistant Superintendent

12 month position

MINIMUM JOB REQUIREMENTS:

Education: High School diploma or equivalent. College credit or degree preferred.

Experience: Minimum of five years of verifiable/related work experience.

Skills: Proficient in use of educational technology and computer applications; excellent written and oral communication ability; strong knowledge of state federal and local educational rules regulations policies and laws pertaining to area of responsibility; expertise in the Oklahoma State Department of Educations policies and procedures. Must possess valid Oklahoma Drivers license and a personal vehicle.

ESSENTIAL JOB FUNTIONS: these statements are intended to describe the responsibilities assigned to this position and are not intended to represent an exhaustive list of all responsibilities duties and skills required.

  • Demonstrate effective interpersonal skills while being a district spokesperson for new parents and students to our school district and community.
  • Coordinate enrollment process and maintain appropriate files.
  • Process all requests for enrollment to appropriate departments and school sites.
  • File correspondence and other records in prescribed manner.
  • Enroll all new students to the district.
  • Verify residence and all relevant or required enrollment documents.
  • Process all OSSAA enrollment requirements and documents.
  • Maintain information for students and parents such as supply lists and curriculum guides.
  • Request educational records for students enrolling in the district.
  • Assist with residency and guardianship verification including obtaining information as needed maintaining current information in student management system and coordinating residency checks.
  • Communicate transportation information with parents and Transportation Dpt.
  • Process all transfers and maintain transfer requests on State WAVE.
  • Process all transfer information in accordance with laws and regulations.
  • Coordinate all Substitute applications and substitute notification system.
  • Responsible for ensuring that all records are completed and filed in a consistent manner with District State and Federal policy.
  • Will assist the HR department.
  • Communicate frequently and directly with the District Administrative team regarding potential problems or issues which require immediate attention in a proactive manner.
  • Able to be in attendance for assigned work schedule with 95% minimum attendance.
  • Other duties as assigned by districtsite administration.

QUALIFICATION REQUIREMENTS: To perform this job successfully an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge skill and/or ability required. LANGUAGE SKILLS: Ability to read analyze and interpret school records and legal documents. Ability to respond to common inquiries or complaints from enrollment customers regulatory agencies or school districts. Ability to effectively present information to district management public groups and/or boards of education.

MATHEMATICAL SKILLS: Ability to apply intermediate mathematical concepts.

REASONING ABILITY: Ability to apply common sense understanding to carry out written and oral instructions. Ability to define problems collect data establishes facts and draw valid conclusions. Ability to interpret an extensive variety of technical instructions.

OTHER SKILLS/EXPECTATIONS: Develops cooperative and functional relationships with district staff and the public; maintains consistent and punctual attendance; insures job responsibilities are met competently and within established deadlines.
