What Youll Do and Who We Are Looking For

Portland Community College is currently seeking a full-time (40 hours per week) Temporary Instructional Administrative Assistant II to support the Medical Imaging (MI) program and multiple Academic Non-Credit programs in the Healthcare and Emergency Professions pathway (including our American Heart Association courses and training center).
This position is located at the Sylvania campus. Successful candidates will have experience working in an office environment ideally with experience in higher education program support.


The Instructional Administrative Assistant II plays a vital role in supporting the faculty staff and students in HEP programs. This positions primary responsibilities are:

  • All aspects of scheduling for MI AHA and a portfolio of ANC courses

  • Providing administrative support for faculty staff students and management related to department and program success

  • Working as a member of the HEP pathway administration team to support pathway daily activities and strategic long term goals

  • Fostering a friendly and inclusive atmosphere for students faculty and staff.


Instructional Administrative Assistant 2s work well both independently and as part of a team responding to a variety of situations.
Successful Administrative Assistant 2s have the ability to be organized self-motivated and seek out assistance from other college staff as needed.

  • Demonstrated experience working independently as well as collaborating communicating and working on a team with faculty and staff across the college district to accomplish goals from a customer service mindset.

  • Strong team player with an upbeat demeanor adaptable attitude and eagerness to embrace new technologies; capable of working flexibly amidst frequent interruptions.

  • Proven experience with all aspects of class schedule; creating and verifying information and resolving room assignment issues prior to catalog print deadline. Develop and proof Schedule Proof for final approval. Make changes to scheduled classes as determined by Department Chairs. Monitor enrollment data for low enrollment classes and advise supervisor as needed. Remove canceled classes from system. Notify students of canceled or delayed classes.

  • Competencies in office software usage such as Google suite applications Banner and Microsoft Office suite applications.

  • Ability to create a welcoming environment for students faculty staff and management. This includes problem solving and connecting others with resources in addition to managing complex processes and projects typical in an office environment. Ability to remain calm under pressure and adaptable to ever-changing college program and state policies.

  • Demonstrated awareness of ones own cultural background and how it influences their perception values and practices and how these perceptions values and practices influence their work and interactions with others.

  • History of successfully following and executing broad and intricate instructions exercising sound judgment and handling confidential matters with discretion.

  • Support the hiring process for full and part-time employees including ordering background checks and completing necessary paperwork such as I-9 W-4 and Human Resources forms.

  • Oversee program purchasing with detailed accounting reconciliation of expenses.


Minimum Qualifications

To be considered your application must demonstrate these minimum qualifications. (Experience is calculated based on the start and end dates you provide multiplied by the number of hours per week worked).

  • High school diploma or equivalent and three years of administrative support experience or one year in a position equivalent to Instructional Administrative Assistant I.

  • College or business school training may be substituted for up to two years of the administrative experience requirement.

  • Other equivalent combinations of experience and training will be considered.

Work Environment and Physical Requirements

Work is generally performed in an office environment with frequent interruptions or changes in work flow. Occasional lifting guiding or carrying of light-weight materials or equipment may be required. Position involves sitting for extended periods of time while working at a computer terminal. Learned physical skill is required to perform keyboarding and/or ten-key functions.

How We Determine Initial Salary Placement

Starting Salary Expectations
The first two steps of the range are: $49582.00 to $51070.00 per year. Higher salary placement may be available based on qualifications experience and internal equity.
