Description

The Patient Access Manager is responsible for assisting the Director in daily operations of all Patient Access functions and overseeing daily operations for Womens & Childrens Hospital Heart Hospital and Centralized Scheduling. This role leads a multidisciplinary team that includes main admissions and emergency room registrars financial counseling communications and schedulers supporting ancillary services. The Patient Access Manager ensures efficient workflows excellent patient experiences compliance with regulatory requirements and alignment with organizational goals. This position requires strong leadership problem-solving and collaboration skills to support both staff and patients across multiple campuses.



Responsibilities
  1. Job Duties
    1. Perform patient registration function when needed to ensure wait times are kept to a minimum.
    2. Model AIDET guidelines in all interactions with the patient and ensure staff are adhering to the patient experience expectations.
    3. Ensure QA on registrations for all areas of Registration.
    4. Provide continuous training for and communicates changes to existing employees.
    5. Prepare payroll and completes monthly work schedules as needed to ensure adequate staffing levels.
    6. Follow-up on patient complaints promptly
    7. Implement and promote excellent customer service.
    8. Work closely and professionally with outside agencies on special projects developed by the corporate office.
    9. Interview hire evaluate and counsel Patient Access staff members.
    10. Perform evaluations in a timely manner.
    11. Train new employees in all aspects of their assigned job
    12. Supervise and maintain the productivity of employees.
    13. Review the quality of patient registration documents on a daily basis.
    14. Process all paperwork in a timely manner.
    15. Work closely with fellow managers to ensure all procedures regarding patient accounts are completed in a thorough and timely manner.
    16. Complete monthly reports for the Director
    17. Responsible for Dept. Operations Report FTEs and Operating budgets
    18. Staff and order supplies according to budget guidelines and department needs.
    19. Ensure all Patient Access personnel policies are followed.
    20. Ensure all Patient Access Policies and Procedures are adhered to.
    21. Effectively manage and direct all areas of registration to ensure quality productivity and customer service
    22. Maintain a clean MPI on Meditech and works closely with HIM on a daily basis.
    23. Maintain QA statistics and reports.
    24. Monitor and maintain Daily Preservice Log BILL45 and Alpha Census according to established SSC standards. If daily reports are worked by a centralized unit the manager is responsible for working with the reports unit to ensure accounts are worked timely.
    25. Act in the capacity of Director in his/her absence.
    26. Contribute to A/R goals for patient registration.
    27. Conduct monthly staff meetings and in-services for all responsible areas.
    28. Work closely with Market Financial Coordinator for updates and testing for HIS Systems.
    29. Assume on-call responsibilities to ensure adequate staff and problem solving.
    30. Update collection system and requests rebill if appropriate.
    31. Work closely and professionally with Nursing and Ancillary Departments in an effort to maintain teamwork approach.
    32. Determines staff qualifications and competence. Develops and maintains accurate initial and annual competency checklists and initiates completion of initial and annual competency attestation forms.
    33. Actively seeks ways to control costs without compromising patient safety quality of care of the services delivered.
    34. Attends in-service presentations and complete mandatory education including but not limited to infection control patient safety quality improvements MSDS and OSHA Standards.
    35. Demonstrates knowledge of occurrence reporting system and utilizes system to report potential patient safety issues.
    36. Functional Standards Adherence
    37. Practice and adhere to the Code of Conduct philosophy and Mission and Value Statement
    38. Other duties as assigned.


Qualifications

Experience: Minimum three years experience in related area with two of these years being healthcare management experience OR completion of the Parallon Manager Trainee Program.

Education: Bachelors Degree in Business or related field required. Equivalent work experience may substitute education requirements.
